Project Assistant, Employment & Economic Opportunity
AIR is seeking a Project Assistant to join our Employment & Economic Opportunity Program to provide project coordination and continuous process improvement support for mission-driven client service and technical assistance projects. This role supports day-to-day project execution by coordinating meetings and events, preparing and organizing materials, tracking timelines and action items, and maintaining project documentation. Working closely with project staff, the Project Assistant helps ensure project activities are well organized, responsive to client needs, and completed on schedule.
Candidates hired for the position may work remotely within the United States (U.S.) or from one of our U.S. office locations. This does not include U.S. territories. The position requires availability to participate in meetings across all continental U.S. time zones.

Responsibilities:
- Assist in coordinating and supporting client service and technical assistance projects, including scheduling meetings and events, preparing materials, and tracking timelines and action items.
- Communicate with clients and partners to provide updates, gather information, and respond to inquiries in a professional and timely manner.
- Coordinate virtual meetings and work sessions by managing calendar invites, registrations, and day-of event platform support.

- Support the development, formatting, and distribution of project deliverables, including reports, presentations, and other materials.
- Maintain and update project documentation, databases, and client records, ensuring accuracy and version control.
- Collaborate with project team members to support timely completion of tasks and deliverables.
- Assist with the development and refinement of project coordination and client service processes.
- Provide administrative and operational support, including data entry, document preparation, filing, and records management.
- Help monitor project progress and support the collection of client feedback to inform improvements.
- Participate in team meetings and support planning and coordination of project activities.
- Identify opportunities for innovations in solutions to process improvements and project management activities.
Qualifications:
Education, Knowledge, and Experience
- Bachelor’s degree in Business Administration, Communications, or a related field.
- 1–2 years of experience in project coordination or administrative support, preferably in a client services or customer-facing environment.
- Experience communicating with clients or stakeholders in a professional setting.
Skills
- Experience using AI tools to synthesize information, draft content, analyze data, or improve efficiency in day-to-day work. Ability to apply sound judgment when interpreting AI-generated outputs.
- Strong organizational and time management skills, with the ability to prioritize multiple tasks and deadlines.
- Strong attention to detail and a commitment to producing accurate, high quality work.
- Service mindset with a proactive, solution-oriented approach.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Ability to work both independently and collaboratively in a virtual team environment.
- Experience with Airtable preferred, but not required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Teams required; experience with project management software is preferred, but not required.

Salary offers are made based on internal equity within the institution and external equity with competitive markets. Please note this is the annual salary range for candidates that are based in the United States.
Anticipated Hourly Rate Range
$27 - $36 USD
