The impact of this role

Reporting to the Director, Strategic Partnerships, the Partnerships Operations Specialist is the operational backbone of the AMA’s enterprise and B2B partnership ecosystem. In this role, you ensure that every partnership – whether a corporate training engagement, strategic collaboration with industry partners, or enterprise initiative with major brands – is delivered with the precision, professionalism, and consistency that strengthens the AMA’s reputation and drives repeat business.

You will translate signed agreements into seamless execution, keeping projects moving, stakeholders aligned, and partners confident in the value of working with the AMA. Your work directly impacts partner satisfaction, revenue realization, and AMA’s ability to scale its Enterprise Solutions function – an increasingly important growth engine for the organization.

By orchestrating the day-to-day fulfillment of complex, cross-functional deliverables, you create the operational discipline that allows AMA to grow its footprint, deepen strategic relationships, and accelerate its mission of becoming the essential community for marketers. This role is critical not just for “getting work done”, but for elevating the partner experience and setting a higher bar for how the AMA shows up in the marketplace.

What you’ll be doing

Partnership Fulfillment & Execution – 40%

You will operationalize the day-to-day execution of our active B2B and enterprise partnerships, ensuring nothing falls through the cracks.

  • Drive end-to-end fulfillment of deliverables – timelines, milestones, communications, reporting, and documentation.
  • Manage project plans, dashboards, and tracking systems to ensure internal alignment and partner accountability.
  • Support onboarding workflows for new partners and enterprise training clients.
  • Prepare recap reports, performance summaries, and fulfillment documentation for internal and external stakeholders.
  • Coordinate logistics that keep engagements running (invoicing coordination, contract tracking, asset collection, data organization).
  • Act as the “control tower” for all moving parts of a partnership and enterprise engagement.

Cross-Functional Coordination – 30 %

You will be the connective tissue across several AMA teams, ensuring coordination, clarity, and timely execution.

  • Liaise with Learning, Marketing, Finance, Research, Communities, Alliances, and the Office of the CEO teams to activate contract deliverables.
  • Route information, requirements, and partner assets to the right internal owners and keep momentum moving.
  • Track dependencies and escalate risks proactively to avoid delays and missed deliverables.
  • Maintain consistent, organized documentation to enable cross-team visibility and operational continuity.

Process & Systems Management – 15%

You will help build the operational backbone that allows AMA’s enterprise footprint to scale.

  • Maintain and continuously improve internal documentation, templates, trackers, and workflows.
  • Identify gaps, bottlenecks, and inefficiencies, and propose practical, scalable improvements.
  • Support the Director of Strategic Partnerships by creating repeatable systems for enterprise fulfillment.
  • Contribute to AMA’s evolving enterprise operations infrastructure as we mature into a full Enterprise Solutions function.

Administrative, Project, and Relationship Support – 15%

You will provide high-value support that enables strategic work to move forward quickly.

  • Assist with scheduling, meeting prep, note-taking, agendas, and follow-ups.
  • Manage partnership inboxes, communication logs, and prioritization frameworks.
  • Handle ad hoc operational work aligned to enterprise strategy and business needs.
  • Promote a service-oriented mindset rooted in care for our partners and professionalism in every interaction.

What you bring to the table

You’ll excel in this role if you bring a strong operational foundation, demonstrated experience in fast-paced client- or partner-facing environments, and the professional maturity to manage complex workflows with limited oversight.

Experience & Execution

      • 3-5 years of experience in partnership operations, project management, account coordination, client services, or a comparable operations role within a marketing agency, consultancy, or corporate (B2B) environment.
      • 2-3 years of experience fulfilling sponsorships, partnerships, or enterprise customer deliverables
      • Proven ability to manage 10-20+ concurrent projects or deliverables with accuracy, organization, and accountability.
      • Hands-on experience coordinating cross-functional workstreams – ideally across 3 or more internal departments/stakeholders.
      • Demonstrated success managing timelines, deliverables, or partner obligations with a track record of on-time delivery rates of 90%+ (informal or formal performance metrics acceptable).

Operational & Technical Strength

      • 2-3 years of strong proficiency in workflow, project management, and collaboration tools (e.g., Asana, Miro)
      • Experience preparing client-facing or leadership-facing materials, such as project briefs, performance summaries, or progress reports.
      • Ability to work with structured data (budgets, timelines, fulfillment metrics) and transform it into clear, accurate documentation.

Communication & Relationship Skills

      • Experience supporting or directly interacting with external clients, partners, or senior stakeholders – minimum 1-2 years in a client-facing role or stakeholder-facing role.
      • 2-3 years of experience in business writing – recaps, summaries, partner updates, internal documentation.
      • A history of navigating ambiguous or evolving environments, with examples of proactively identifying issues and driving resolutions.

Curiosity, Creativity, and Adaptability

      • Naturally curious – asks thoughtful questions, seeks context, and learns the business quickly.
      • Comfortable navigating a role with evolving responsibilities as AMA expands its enterprise operations.
      • Thrives in an environment where no two weeks look the same.
