Apex Skin is a rapidly growing skincare facility that empowers employees to deliver exceptional patient experiences. We are currently looking for a talented candidate for the role of Aesthetic Sales Operations Manager. The Aesthetic Sales Operations Manager reports directly to the Director of Aesthetics and is responsible for leading all Aesthetic Assistant Managers (AAMs) and Aesthetic Associates (AAs) across Apex Aesthetics.
This role is responsible for driving sales performance, operational execution, team accountability, lead management, retail performance, membership growth, patient experience, ecommerce fulfillment, inventory accountability, and overall clinic success. The Aesthetic Sales Operations Manager serves as the primary leader for the non-clinical operations of the aesthetics department and partners closely with the Clinical Operations Manager to support organizational goals.
This position requires a strong leadership presence within clinics and the ability to support operational needs in real time while maintaining accountability across multiple locations.
Essential Functions:
Sales Performance & Revenue Accountability
- Drive achievement of clinic revenue goals across all aesthetic locations.
- Monitor and analyze key business metrics including revenue, retail sales, membership performance, lead management, schedule utilization, and event performance.
- Identify performance gaps and implement action plans to improve results.
- Support clinics in maximizing bookings, retention, rebooking, and promotional execution.
- Maintain accountability for clinic performance and operational execution.
Team Leadership & Staff Oversight
- Directly oversee all Aesthetic Assistant Managers and Aesthetic Associates.
- Establish clear expectations for professionalism, accountability, sales performance, and operational execution.
- Provide ongoing coaching, mentorship, development, and performance feedback.
- Partner with leadership and Human Resources on performance management and corrective action when necessary.
- Participate in the hiring, onboarding, and training of AAMs and AAs.
- Develop future leaders within the aesthetics department.
Sales Operations & Clinic Execution
- Maintain a consistent presence across aesthetic locations.
- Support execution of lead management, schedule optimization, patient follow-up, membership growth, and promotional initiatives.
- Ensure clinics are consistently executing operational standards and workflows.
- Assist with front desk coverage and operational support as needed.
- Identify workflow inefficiencies and implement process improvements.
Lead Management, Retail & Growth Initiatives
- Drive a strong sales culture throughout the aesthetics department.
- Coach teams on lead outreach, patient communication, retail sales, membership education, and rebooking strategies.
- Monitor lead response times and ensure timely follow-up on prospective patients, event attendees, and promotional opportunities.
- Partner with the Aesthetics Marketing Specialist to support clinic events, promotional campaigns, social media initiatives, and local growth opportunities.
- Oversee ecommerce fulfillment operations and support optimization of the online retail experience.
- Support implementation of growth initiatives that increase patient acquisition and retention.
Inventory Oversight & Accountability
- Maintain accountability for inventory accuracy and execution across all aesthetic locations.
- Partner with AAMs to ensure inventory systems, counts, organization, and documentation are maintained consistently.
- Monitor inventory trends, discrepancies, usage concerns, and operational compliance.
- Assist with inventory audits and implementation of standardized inventory workflows.
- Escalate inventory concerns and operational risks appropriately.
Cross-Functional Collaboration
- Partner closely with the Clinical Operations Manager, who maintains responsibility for providers, clinical training, onboarding, and clinical performance.
- Collaborate with the Aesthetics Project Manager on implementation of new systems, workflows, and operational processes.
- Work alongside the Lead Aesthetic Clinical Trainer to identify clinic development opportunities.
- Partner with the Aesthetics Marketing Specialist to support clinic growth initiatives and regional marketing execution.
- Serve as a communication bridge between clinic teams and leadership.
Patient Experience & Clinic Standards
- Reinforce consistent patient experience standards across all locations.
- Ensure clinics maintain professionalism, cleanliness, organization, and brand consistency.
- Support teams in creating a welcoming, efficient, and service-oriented patient experience.
- Address patient experience concerns and operational service gaps as needed.
- Promote a positive, accountable, and team-oriented culture.
Qualifications:
- Previous leadership experience within aesthetics, healthcare, retail, hospitality, or multi-site operations environments preferred.
- Strong understanding of sales performance, lead management, customer experience, and team development.
- Demonstrated ability to coach teams and drive accountability.
- Strong communication, leadership, organizational, and problem-solving skills.
- Ability to multitask and adapt within a fast-paced, growth-oriented environment.
- Comfortable working hands-on within clinic operations when needed.
- Ability to travel regularly between clinic locations.
- Experience managing KPIs, retail performance, schedule utilization, and operational execution preferred.
