Overview:
The Manager, Growth Operations will be vital for Apollo Behavior’s growth efforts. This role will oversee the execution of Apollo’s new site projects from selection through grand opening, ensuring each clinic opens on time, on budget, and aligned with Apollo’s best-in-class quality standards. Beyond launches, this role builds and manages cross-functional systems and initiatives that enable operational scale—spanning facilities management, vendor coordination, process optimization, and systems integrity. The ideal candidate combines project execution discipline with systems thinking to strengthen operational consistency across all markets
Key Responsibilities:
New Site Project Management
- Lead end-to-end project management for new site launches, working with contractors and vendors from design to construction to launch, ensuring smooth facility readiness. Apollo has grown from 7 to 14 clinics in 2025 and has ambitions to continue a strong trajectory.
- Manage project budgets, timelines, and milestone reporting across internal teams and clinics and external vendors to ensure seamless site activation and smooth transition to ongoing operations.
Facility Management
- Serve as the key connector between clinics and vendors for all facility management needs—leveraging Apollo’s current platform (and shaping its future version) to streamline communication, facilitation, and vendor accountability.
- Monitor vendor performance and facility data within Apollo’s facilities platform and standards to ensure accuracy, proactive maintenance, and timely resolution of issues
- Oversee relationships and be the primary point of contact with landlords, property managers, and vendors, ensuring service levels meet organizational standards.
- Maintain consistent communication with Operations Managers at each clinic to ensure timely issue resolution and proactive maintenance planning.
- Support execution and lead improvement for delivery of clinic-level IT needs
Process Optimization for Scale
- Develop, document, manage, and refine scalable processes and tools that support multi-site growth and operational integrity for repeatable success across markets. Focus areas can range from real estate growth to marketing to internal administrative functions and beyond.
- Document and operationalize new processes across departments, ensuring adoption, compliance, and measurable impact on speed, cost, and quality.
- Partner with Operations and Clinical teams to streamline workflows, ensuring processes stay on scope, time, and budget.
- Support enterprise initiatives related to facilities, technology systems, and cross-functional process integration.
- Drive accountability and communication across internal and external stakeholders.
Qualifications:
- 4–7 years of project management or operations experience, preferably in multi-site healthcare, retail, or service industries.
- Proven ability to manage multiple projects and priorities end-to-end.
- Strong analytical, organizational, and communication skills.
- Familiarity with project management software (e.g., Monday.com, Smartsheet, or Asana).
- Proficiency in data analysis and reporting tools to track project and vendor performance and run ad-hoc analyses (e.g., Excel, Power BI, or Looker).
Preferred Qualifications:
- PMP, CAPM, or other formal project management certification.
- Experience with facilities management platforms or IT service ticketing systems.
- Background in multi-site expansion or capital projects.
- Proven ability to design and implement scalable processes across multiple teams or markets.
- Strong vendor management and negotiation skills, with a focus on accountability and service-level performance.
