Detail-oriented Billing & Collections Analyst with proven experience managing the full collections cycle, reducing aged receivables, and resolving complex billing and account discrepancies. Skilled in maintaining accurate customer records, securing timely payments through proactive outreach, and ensuring compliance with international tax documentation requirements. Adept at collaborating with cross-functional teams to resolve issues, process refunds, and apply cash receipts accurately, all while maintaining strong client relationships and minimizing delinquency. The Billing & Collections Analyst position reports to the Senior Manager, Billing and Collections.
Responsibilities
- Spearhead the collection of outstanding customer payments and ensure timely, accurate application of cash receipts to customer accounts.
- Coordinate the collection of international tax documentation and secure validated withholding tax certificates to ensure compliance with cross-border tax regulations.
- Investigate and resolve customer account discrepancies and billing issues to maintain accurate records and support strong client relationships.
- Process customer refunds and contribute to the analysis and management of the Allowance for Doubtful Accounts.
- Prepare journal entries to accurately record cash receipts, withholding taxes, bank fees, and bad debt write-offs in accordance with accounting standards.
- Apply a proactive, solution-oriented approach to problem-solving to prevent escalation of issues and ensure operational continuity.
- Maintain consistent communication with customers to secure necessary Purchase Orders, enabling smooth invoicing and collections processes.
- Collaborate effectively with internal departments—especially Sales—and external clients to facilitate timely issue resolution and drive process improvements.
Requirements
- Bachelor’s degree in Accounting, Finance or Business Administration preferred
- Minimum of 2 years of corporate collections experience including interaction with a large customer base in a business-to-business environment
- Experience with customer billing portals is preferred
- Strong Microsoft Excel skills required
- ERP financial systems experience preferred but not required
- Strong written and verbal communication skills.
- Experience working with customers in multiple countries and ability to speak Spanish and other European languages, in addition to English, is extremely helpful.
- Strong organizational and analytical skills combined with strong attention to detail
- Ability to work independently and adapt to a fast-changing environment
