About the Role
As a member of the Global Operations team, the Office Administrator plays a key role in supporting the smooth and efficient day-to-day operations of the Toronto office. This position is responsible for overseeing all aspects of the office environment, ensuring it is welcoming, well-maintained, and conducive to productivity for both employees and visiting clients. The role also provides opportunities to support and contribute to broader Global Operations initiatives as needed.
This is a part-time, in-office role requiring availability every Tuesday, Wednesday, and Thursday.
Key Responsibilities:
- Maintain a high standard of organization, cleanliness, and overall aesthetics throughout the office
- Ensure office security by managing key FOBs, tracking access, and overseeing door access controls
- Monitor office inventory and proactively order supplies (e.g., Amazon, Costco, etc.)
- Manage and maintain relationships with office vendors and service providers
- Create, maintain, and update office-specific documentation (e.g., Operations Manual)
- Receive, process, and prepare incoming and outgoing mail and courier deliveriesManage the Health & Safety program, including potential First Aid certification
- Provide warm, professional hospitality and customer service to visitors and guests
- Collaborate with IT as needed, including assisting with equipment management and ensuring meeting room technology is functioning properly
- Coordinate catering requests, maintain snack and coffee supplies, and support company events
- Keep common areas organized, stocked, and presentable at all times
- Support miscellaneous operations-related tasks as required

- Proficient in Google Workspace (Docs, Sheets, Slides, etc.)
- Minimum of 2 years of office administration experience in a professional setting
Nice-to-Have:
- Previous experience in a digital or marketing agency environment
- Experience successfully navigating high-pressure or fast-paced work environments
