We are an international team working with large volumes of data and modern automation platforms. Our goal is to build administrative and operational processes that are accurate, efficient, and scalable. We’re now looking for someone who can help us take them to the next level.

Who We’re Looking For
A high integrity, attention to detail, and ability to multitask who:
  • Has 3+ years in finance/accounting/admin management in Spain. 
  • With strong knowledge of Spanish labor, tax & social security laws.
  • Has experience with relocation and expat support.
  • Proficient in Excel (SQL - is a plus, NetSuite - basic knowledge).
  • Fluent in Spanish & English.
Responsibilities

Financial & Accounting Oversight

  • Prepare and review accounting-related reports, including cost allocation, expense tracking, and budget adherence.
  • Collaborate with the global finance team to ensure compliance with Spanish accounting standards and internal reporting requirements.
  • Support monthly and quarterly financial closings by providing accurate administrative and cost data.
  • Identify and implement improvements in financial and administrative processes for greater efficiency and accuracy.

People Operations & Employee Lifecycle

  • Coordinate the onboarding and offboarding process for employees in Spain, ensuring a smooth and compliant experience.
  • Work closely with HR and payroll partners to manage employment documentation, payroll, benefits enrollment, and statutory reporting.
  • Support expatriates and relocated employees, ensuring all relocation-related procedures are handled efficiently and employees remain focused on their work.

Team Leadership

  • Lead, motivate, and develop a team of Office Managers and Relocation Managers.
  • Set clear objectives, monitor performance, and foster a positive, service-oriented team culture.

Office & Facilities Management

  • Oversee day-to-day office operations, ensuring a well-functioning, safe, and productive work environment.
  • Manage vendor relationships (office supplies, cleaning, maintenance, etc.) and negotiate service contracts where necessary.
  • Coordinate logistics and administrative support for internal and external meetings, visits, and corporate events.

Global Collaboration

  • Collaborate with the global Finance and Admin teams on cross-country initiatives such as compensation report consolidation, automation of administrative processes, and best practice sharing.

Requirements

  • Minimum 3 years of experience in accounting, finance, or administrative management in Spain.
  • Solid understanding of Spanish labor, tax, and social security regulations.
  • Hands-on experience with relocation processes and managing expatriate support.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple priorities with attention to detail and accuracy.
  • Proficiency in Excel. SQL is a plus.
  • Fluent Spanish and English (written and spoken) required. Russian is a plus.
  • Basic knowledge of NetSuite.
  • Bachelor’s degree in Business Administration, Finance, or a related field (Master’s degree a plus).
  • Experience working in a fast-paced, global organization is an advantage.
  • High level of integrity, discretion, and professionalism.
