About the role

We are seeking a dynamic and organized on-site Office Manager to oversee our day-to-day operations. Reporting to the VP of Finance and Operations, this role includes responsibilities extending to Chief of Staff-level functions, working on critical operational projects. In this role, you will be integral to our team, ensuring smooth office operations, cultivating a positive and productive workplace culture, and supporting strategic and operational initiatives across the organization.

What You’ll Do

  • Office management and infrastructure: Day-to-day management and coordination of “all the things” to keep the company running in an organized and efficient way, including hands on office management (working with vendors, repair work orders, etc), as well as soft tasks such as managing company calendars and creating and maintaining SOPs.
  • Administrative oversight - Organize, prepare for, and document team meetings, maintain documentation, and perform data entry.
  • Drive key culture initiatives and team engagement: Bring your passion and aptitude for building a strong, intentional company culture, and contribute by planning company events and offsites, supporting annual employee reviews, planning mandatory and company trainings, and onboarding and offboarding team members. 
  • Corporate, strategy and business operations support: Support the executive team in key areas, including board meeting prep, creating executive briefings and reports, researching and gathering information for decision-making, and supporting initiatives to scope and build “next level” processes, tools and workflows (e.g. KPI development and tracking, company goal settings, and reporting).

What You’ll Bring

  • Bachelor’s degree in business administration, management, HR, or related fields (or equivalent experience), with a minimum of 4 years in an Office Manager role or 2+ years in a Chief of Staff role with prior office manager or similar experience (exposure to executive-level support).
  • Proven track record of producing clear, effective documentation and other communications with internal and external stakeholders.
  • Demonstrated skills in operating, streamlining and building out tools for productivity, documentation, and project management (e.g. Click-up, Drive).
  • Experience planning and managing ongoing and one-off meetings and events.
  • Strong ability to coordinate across multiple teams, including a highly technical science team.
  • Familiarity with KPI tracking and reporting to monitor company objectives and performance. 
  • Demonstrated proficiency with basic business acumen (corporate strategy, financial metrics, operational efficiency), executive-level briefings and presentation prep, and analytical and research skills.  
  • Certifications that would be nice to have include: PMP (Project Management Professional), SHRM (for HR tasks), or other relevant certifications.
  • A proactive and resourceful mindset: Anticipate needs, take initiative, and find creative solutions to challenges.
  • Effective communication abilities: Communicate clearly, diplomatically and effectively with internal and external stakeholders. This includes verbal and written communication as well as active listening skills. 
  • Leadership and interpersonal skills: Lead by example, inspire the team, mediate or direct conflicts (internally and externally), and foster a positive office culture. 
  • Strong desire to learn and expand your capabilities: Early-stage startups offer great opportunities to perform new types of work, and it’s essential to have people who are excited about this.

Compensation 

Aralez Bio’s salary range for this position is $110,000 - $140,000 per year, based on your performance and experience.
