Project Coordinator, Film & Digital Media

ABOUT THE ROLE:
The Film & Digital Media Project Coordinator is primarily responsible for the oversight and coordination of a variety of high impact projects that play a key part in the Arizona Film & Digital Media Office continuing growth and expansion. This individual will work closely and collaboratively with stakeholders to plan, support, and organize projects within a broad framework of general policy, which requires creativity and resourcefulness to accomplish goals and objectives of the ACA.
PRIMARY RESPONSIBILITIES:
- Serve as first point of contact for inbound inquiries to the Film & Digital Media Program (FDMP) relating to project assistance.
- Responsible for registration of all incoming projects into the FDMP’s databases (e.g., Salesforce, Reel Scout).
- Generate required weekly activity reports (e.g., Board of Directors report) for the FDMP.
- Disseminate information to leadership team for detailed decision points and project timelines.
- Assist the Director with recruitment of college students into the Film Ready Crew Program.
- Participate in the identification of and secure film locations in the public and private sector; coordinate film permitting within the state and support all administrative duties.
- Maintain the Arizona Film Location Photo Library in a format consistent with industry standards.
- Maintain programmatic resources, assist on document creation for events and initiatives.
- May participate and support the coordination of film industry events and/or trade shows as needed, e.g., AZ Tech Week.
- Serve as a resource to the team, gathering information, solving problems, and communicating with the project team, marketing and finance departments, vendors, other internal and external partners.
- Build and maintain positive working relationships with co-workers and the public using principles of good customer service.
- Independently perform special projects that require a combination of administrative, creative, and communication skills.
- Other duties as assigned.
COMPETENCY, EDUCATIONAL & EXPERIENCE REQUIREMENTS:
- Bachelor’s degree in business, marketing, film production, or a related field, or equivalent experience.
- Minimum of two (2) years of experience in administration or project/program coordination.
- Knowledge of office administration, project support, event coordination, and database systems.
- Excellent communication skills and a collaborative team approach.
- Ability to manage multiple projects independently in dynamic environments.
- Highly organized, self-directed, with effective problem-solving and decision-making skills.
- Proficient in MS Office Suite, industry-related software, and web technologies.
- Flexibility to work outside standard business hours for external events.
HIGHLY PREFERRED SKILLS, ABILITIES & QUALIFICATIONS:
- Familiarity with film production, technical theater, and/or digital media production.
- Innovative and open to unconventional and creative tasks.
- A self-starter interested in contributing to a dynamic program.
- Strong client service skills and ability to work with diverse teams and cultures.
- Attention to detail with a focus on accuracy and completeness.
- Enjoys interacting with people and working on group projects.
