Position Overview

Your primary role is enabling the CDAO CIO to make timely decisions by reviewing and confirming appropriate coordination of actions across the Department, with members of Congress, with the interagency and within CDAO.  As an Executive Officer you will facilitate communication at multiple echelons and between multiple organizations, ensure talking points are in line with CDAO, CDAO CIO, and Department messaging, and ensure tasks and direction are communicated at the appropriate levels.  You will also maintain familiarity with CDAO security procedures, emergency evacuation protocols, Continuity of Operations Program (COOP) plan, and rules for protecting resources in support of the CDAO CIO.  Finally, as the CDAO CIO’s Executive Officer you are responsible for helping the Principal maintain the values and ethical culture of the Department of Defense through adherence to the Code of Federal Regulations, Sections 2634-2640, and the DoD Joint Ethics Regulation, DoDD 5500.

Job Responsibilities and/or Success Factors

  • Serve as the principal advisor and staff support to the CIO. Provide in-depth advisory services concerning military and civilian human capital management functions on issues such as team taskings and assignments, memorandum of agreements, awards and evaluations.
  • Screen all preparatory materials for meetings and travel.
  • Review incoming correspondence for content and format, and draft outgoing correspondence.
  • Accomplish priority actions, and fulfill planning, logistics, administrative, personnel, and other requirements.
  • Assist in the direction and coordination of actions for all subordinate organizations within CIO.
  • Primary liaison with external and CDAO leadership and staff.
  • Work with CIO’s EA to maintain office files and the office filing system, and track action items in the suspense portal.
  • Provide support to the CIO for all required correspondence actions, (e.g., formal letters, memorandum, read-ahead briefing/meeting packages, reports, and travel/training/personnel documents).
  • Route materials to appropriate offices and manage incoming and outgoing correspondence, mail, and other materials for the CIO.
  • Collaborate with CIO’s EA to ensure that daily calendar is current and updated.
  • Arrange for meetings, conferences, and video-teleconferencing, to include taking minutes and maintaining invitations attendee contact rosters.
  • Remain apprised of near future upcoming events to ensure meeting preparations are identified.
  • Develop and update office standard operating procedures.
  • Ensure the CIO office operates efficiently and effectively in relation to senior level taskings.
  • Strong client focus and commitment to continuous improvement, ability to proactively network and establish relationships.
  • Manage multiple priorities in a high-paced and fast-changing environment.
  • Perform other duties as assigned or required.
  • Extensive written and verbal communication experience at the executive level.
  • Extensive experience with Microsoft Office Tools. PowerPoint skills a must.

 

Education and Minimum Qualifications

  • Must have an active Top Secret clearance.
  • Bachelor’s degree with at least 10 years of experience performing executive level planning, advisory, or staff support within the DoD.
  • Experience in Microsoft Office Suite (Outlook, Work, Excel, PowerPoint).
  • Have key attention to detail and professional communication.
  • Strong customer service skills.
  • Ability to work in a fast-paced environment.
  • Physical Requirements:
    • Work may involve sitting or standing for extended periods of time and typing and reading from a computer screen.
    • Must have enough mobility, including bending, reaching, and kneeling, to complete daily duties in a prompt and efficient manner and may include lifting thirty (30) pounds, as necessary.
