About the Role

The Head of Workspaces / Office Manager is a critical role in laying the foundation for Armada’s office culture and employee experience. This individual will drive the vision, strategy, and execution of our office environments, ensuring that our spaces are not only functional but foster an environment of collaboration, innovation, and inclusivity. The role will be pivotal in ensuring that the Bellevue office is a vibrant, productive, and efficient space, while also shaping the global office network as we continue to scale. In addition to overseeing day-to-day office operations, this individual will also hire and manage a team of office administrators across global offices in San Francisco, India, Saudi Arabia, Dubai, and beyond, with a focus on aligning workspace strategies and maintaining operational excellence across our locations. 

Location. This role is office-based in Bellevue, Washington office. 

What You'll Do (Key Responsibilities)

  • Office Operations: Manage day-to-day operations of the Bellevue office, ensuring that the space is organized, functional, and efficient, while reflecting Armada’s values and culture. 
  • Facilities Management: Oversee office maintenance, equipment, and supplies, including vendor management and coordinating repairs or upgrades as needed. Manage Verkada (security system) setup and access for employees. 
  • Team Support: Assist with scheduling and coordination for internal meetings, events, and team gatherings. Ensure all office resources are available for team use and occasionally manage vendors for lunch deliveries. 
  • Guest Services: Serve as the first point of contact for visitors and clients, ensuring a positive experience while maintaining confidentiality and professionalism. 
  • Health & Safety: Maintain office health and safety protocols in line with company policies and local regulations. Ensure compliance with any relevant guidelines. 
  • Expense Management: Track and manage office-related expenses, working closely with the finance team to ensure budget adherence. 
  • Office Culture: Lead the charge in fostering Armada’s office culture by coordinating team-building events, creating an inviting and inclusive environment, and ensuring that the office reflects the company’s mission and values. 
  • Kitchen Management: Oversee kitchen supplies, including ordering snacks, beverages, and other necessary items to ensure the kitchen is stocked. 
  • Vendor Relationships: Manage relationships with office vendors, including the landlord and facilities-related contacts, ensuring all services are maintained smoothly. 
  • Receptionist Duties: Welcome guests and visitors to the office, ensuring a professional and warm reception experience. 
  • Global Team Management: Hire, train, and manage a team of office administrators across multiple global office locations (India, KSA, San Francisco, and beyond). Provide guidance and support to ensure smooth operations across all sites, ensuring consistency in office culture and employee experience globally. 
  • Reporting and Collaboration: Work closely with the Head of Global Legal, People & Places, to align on global workspace strategy, reporting, and ensuring consistent office standards across locations. 

Required Qualifications

  • Proven experience in office management, administrative roles, or similar positions. 
  • Strong leadership skills with experience managing global teams and cross-functional collaboration. 
  • Excellent organizational, communication, and interpersonal skills. 
  • Ability to manage multiple tasks and work under pressure in a fast-paced environment. 
  • Strong proficiency in Microsoft Office Suite and office management software. 
  • Knowledge of office health and safety regulations is a plus. 
  • A proactive, problem-solving mindset with a focus on efficiency. 
  • Experience in managing office-related budgets and expenses is a plus. 

Preferred Qualifications

  • Previous experience in a technology-focused or fast-growing company. 
  • Familiarity with remote work tools (e.g., Microsoft Teams, Zoom) and scheduling software. 
  • Experience in managing international offices and cross-cultural teams. 

Compensation & Benefits

For U.S. Based candidates: To ensure fairness and transparency, the starting base salary range for this role for candidates in the U.S. are listed, varying based on location experience, skills, and qualifications.  In addition to base salary, this role will also be offered equity and subsidized benefits (details available upon request).

$128,000 - $160,000 USD
