Location: Houston, TX  - ONLY ACCEPTING LOCAL CANDIDATES

Base Salary:  $70k - $95k

General Position Description

The Administrative Assistant provides high-quality administrative and operational support to the Executive Office, with a primary focus on enabling the effectiveness of executive leadership and ensuring smooth day-to-day operations of the Houston office.

Reporting to the Executive Office Manager, this role supports the executive leadership team as requested, assists with scheduling and coordination, prepares and edits presentation materials, and serves as the in-house office manager for the Houston location. The Administrative Assistant plays a key role in maintaining organization, professionalism, and efficiency across executive and office operations

Primary Job Responsibilities

Executive and Leadership Support

  • Provide administrative support to the executive leadership team as requested
  • Coordinate internal and external meetings, including scheduling, logistics, and preparation
  • Arrange travel accommodations, itineraries, and related logistics for executives
  • Prepare meeting materials and ensure follow-up actions are tracked and completed

Presentation and Document Support

  • Create, edit, and format slide decks and presentation materials as requested by the executive leadership team
  • Assist with drafting, editing, and organizing executive communications and documents
  • Ensure presentations and materials are accurate, professional, and on brand

Administrative Operations

  • Support the Executive Office Manager with day-to-day administrative tasks and workflow coordination
  • Maintain organized records, files, and documentation related to executive activities
  • Assist with special projects and administrative initiatives as needed

Houston Office Management

  • Serve as in-house office manager for the Houston office
  • Order and maintain office supplies and coordinate vendor needs
  • Manage logistics for in-office meetings, including catering and lunch orders
  • Support a professional, well-organized office environment for employees and visitors

Coordination and Communication

  • Act as a reliable point of contact for internal and external stakeholders
  • Communicate clearly and professionally on behalf of the Executive Office
  • Coordinate effectively with cross-functional teams to support executive priorities

Key Competencies / Requirements

  • Prior experience in an administrative assistant or executive support role
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Experience supporting senior leaders or executive teams preferred
  • Proficiency with presentation tools and office software, including slide creation and document editing using Microsoft Office or Google Office products
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and attention to detail
  • Ability to work independently while collaborating closely with the Executive Office Manager
  • Comfortable working in a fast-paced, dynamic office environment
