Your role
We’re hiring an Administrative Assistant to provide high-level administrative support to executives and ensure the efficient operation of the office. The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to multitask in a fast-paced environment.
Responsibilities will include
Objective #1: In your first 30 days, you will:
- Support and lead efforts for the new office transition, overseeing daily office operations to ensure efficiency and organization.
- Oversee office logistics, including supplies, snacks, meals, and workspace organization.
- Manage relationships with vendors, including office leasing, cleaning services, and IT support.
- Establish and enhance administrative systems and processes to improve operational efficiency.
Objective #2: In your first 60 days:
- Manage and coordinate executive calendars, scheduling, appointments, and meetings, as well as arrange travel itineraries, accommodations, and reports.
- Organize and prepare materials for leadership meetings, all-hands meetings, and off-sites.
- Act as the point of contact for internal and external stakeholders on behalf of executives.
- Draft and manage correspondence on behalf of executives, ensuring timely follow-up on action items.
Objective #3: In your first 90 days, and beyond, you will:
- Plan and execute company events, including happy hours, team retreats, off-sites, and all-hands meetings.
- Support company-wide onboarding, including setting up new hire desks, account setup, and HR compliance enablement.
- Enhance internal processes to improve efficiency and productivity across departments.
- Proactively anticipate executives' needs, problem-solve, and facilitate smooth workflows.
You might be a good fit if you are/have
- 3+ years of experience in administrative, executive assistant, office management, or operations roles (preferably in a startup or high-growth environment).
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent communication and problem-solving skills.
- Proactive and resourceful—able to anticipate needs before they arise.
- Experience with tools such as Google Workspace, Slack, Notion, and expense management platforms.
Base Salary Range: $90k - $125k annually
