What we do:
Our team of Psychiatry Providers and Mental Health Therapist treat all mental health and substance use disorders to a patient population of age 6 and up. Our philosophy is to incorporate all areas of care into a patient's well-being. Position Summary:
The Administrative Assistant at Ascend Healthcare is a critical part of our company’s operations and is vital to maintaining the efficiency and organization of the company. As a key support member, you will handle various administrative tasks, assist in the smooth operation of daily office functions, and ensure a positive experience for staff and visitors.
Key Areas of Ownership:
- Provides administrative support in Ascend Healthcare’s physical office headquarters.
- Handle patient requests, phone messages, and billing inquiries via phone and fax.
- Review the Release of Information (ROI) forms, pull records, obtain necessary approvals, and fax documents.
- Answer incoming calls and respond to voicemail messages.
- Process referrals and collaborate with Engagement Specialist.
- Check all incoming faxes for patient information, documentation, and HR/employee-related materials.
- Forward scanned emails to the appropriate departments within the organization.
- Assist HR team with various administrative tasks, including supporting team offsites, ordering office supplies, and mailing packages as needed.
- Perform other administrative tasks as assigned by supervisors.
Qualifications:
- Experience in a healthcare office environment, understanding basic HIPAA rules and regulations
- Proficiency in MS Office Suite (Word, Excel, Outlook)
- Competency handling various office equipment such as fax machines, scanners, and multi-line phone systems
- Attention to detail and accuracy in handling sensitive information
- Strong communication skills
- Must be willing to be CPR/First Aid certified
Physical Requirements:
Please be aware that this is an onsite position, and the below physical requirements should be considered prior to applying for the position:
- Prolonged Sitting: Ability to sit for extended periods during working hours.
- Manual Dexterity: Good hand-eye coordination and manual dexterity for using a computer keyboard, mouse, and other office equipment.
- Visual Requirements: Adequate vision for reading computer screens and documents.
- Communication: Clear verbal and written communication skills for virtual meetings and correspondence.
- Hearing: Sufficient hearing ability for participating in phone calls or virtual meetings.
- Work Environment: Access to a quiet, dedicated workspace free from distractions with reliable internet connectivity.
FLSA: Non-Exempt
Schedule: 8am-12pm Arizona time, M-F
Hourly Rate: $18-$20/hr pending YOE
