Goering & Granatino (G&G) is a Kansas City area professional services firm located in Leawood, Kansas. We provide advisory services, including taxaccountingpart-time CFO, and business formation services. At G&G, we are willing to help you continuously improve on various aspects of your career. We are seeking a full-time Office Manager, a role critical to the backbone of our firm. This position calls for a team-driven professional who possesses a blend of excellent technical skills, positive attitude, and remarkable ability to collaborate efficiently with various individuals.

Key Responsibilities

Administrative Leadership

  • Supervise and coordinate a team of administrative professionals to secure smooth and efficient functioning on a day-to-day basis while promoting optimal performance, effective task delegation, and fostering professional growth.  

Client Support and Data Management

  • Manage and safeguard confidential client data, aligning with legal and ethical standards.
  • Enhance client experience through efficient processing of deliverables (such as tax returns, notice responses, etc.)
  • Consistently have complete and documented workflows, updating Admin procedures as necessary.
  • Maintain knowledge of general business practices to properly serve clients; maintain firm lists of client ancillary services.

Office Logistics and Environment

  • Organize and maintain filing systems for office environment, ensuring accessibility and compliance.  
  • Oversee and streamline office logistics, including supply management, office layout, and maintaining a professional atmosphere.
  • Collaborate with location leadership to plan and execute internal firm events and meetings to foster team collaboration and culture.
  • Facility Management; maintain office facilities (shredding, HVAC, plumbing, copier, access to location, etc.)
  • Assist as IT Liaison. 

Executive Support and Special Projects

  • Reliable administrative partner and provide direct assistance and support to owners including managing calendars, expense reports, correspondence, travel plans, CPE training, etc.
  • Coordinate travel arrangements, business lunches, and other external engagements for firm professionals.
  • Assist HR with welcoming new team members and coordinate with HR lead and payroll teams to ensure timely and error-free payroll runs.
  • Marketing liaison (source for social media pictures, etc.)
  • Monthly billings and invoices. Balancing of Accounts Receivables, manage checking account/balancing and deposit of checks.
  • Spearhead special projects, demonstrating initiative and an ability to lead without constant supervision.
  • Handle multiple priorities and meet various deadlines.
  • Organize and maintain filing systems for office environment, ensuring accessibility and compliance.
  • Coordinate travel arrangements, business lunches, and other external engagements for firm professionals.
  • Coordinate charitable/sponsorship events.
  • Participate in Executive Leadership Meetings.
  • Active participant in promoting Core Values: Motivated and Committed, Visionary for Clients, and Proficient and Professional with innovative ideas for Team activities, Fun Calendar, and events.   

 

Required Qualifications

  • Associate’s Degree or relevant practical experience
  • 5+ years of related experience in an office environment
  • Demonstrated experience supervising a team
  • Ability to handle confidential material in a reliable manner
  • Strong interpersonal skills
  • Commitment to providing exceptional service, both internally and externally
  • Proficient working knowledge of Microsoft Office Suite
  • Proficiency in working with cloud and internet-based programs
  • Willing to work extended hours as needed during our busy tax season (January 1 - April 15)

 

Preferred Qualifications

  • Bachelor’s degree
  • 7+ years of related experience, including experience within a CPA or professional services firm
  • Accounting software knowledge (Accounting CS and/or QuickBooks)
