Senior Client Services Specialist
The Senior Client Services Specialist (Senior CSS) for Portfolio Migrations plays a key role in overseeing complex, multi-property transitions into and out of the Asset Living portfolio. This position requires a high level of autonomy, cross-departmental coordination, and client relationship management to ensure seamless onboarding, migration, and offboarding processes for large-scale portfolios. The Senior CSS serves as the primary point of contact for assigned migrations, guiding internal teams, ensuring adherence to timelines, and proactively identifying and resolving issues.
Essential Duties & Responsibilities
- Lead Complex Portfolio Migrations: Manage end-to-end migration processes for multi-property portfolios, ensuring timelines, deliverables, and client expectations are met.
- Primary Client Liaison: Serve as the point of contact for clients during migrations, facilitating communication, addressing concerns, and ensuring a high level of satisfaction.
- Cross-Functional Coordination: Partner with internal teams (Operations, Marketing, Treasury, IT, Legal, Training, etc.) to align on requirements, remove roadblocks, and maintain visibility across all stakeholders.
- Strategic Planning: Develop migration timelines, identify dependencies, and adjust strategies as needed to ensure a smooth transition.
- Process Improvement: Recommend and implement enhancements to migration processes, tools, and templates to drive efficiency and consistency across projects.
- Mentorship & Support: Serve as a resource and escalation point for Client Services Specialists (CSSs) assigned to individual tasks within a portfolio migration.
- Documentation & Reporting: Maintain accurate migration trackers, status updates, and client-facing deliverables, ensuring they are updated in real time for visibility.
- Issue Resolution: Anticipate and address potential challenges before they escalate, coordinating with appropriate departments for resolution.
- Portfolio Nuances: Understand and manage unique portfolio requirements (e.g., client-specific Yardi instances, banking arrangements, MSAs, and third-party integrations).
- Travel Requirement: This position does not require travel.
Education & Experience
- Bachelor’s degree or equivalent experience required.
- 4–6 years of experience in client services, property management, or transitions.
- Experience leading large-scale, multi-property projects preferred.
- Proven experience in client services, property transitions, or portfolio migrations, ideally within the multifamily or real estate industry.
- Strong leadership skills with the ability to guide cross-functional teams without direct authority.
- Exceptional organizational skills, with the ability to manage multiple properties and deadlines simultaneously.
- Advanced problem-solving skills with a proactive approach to identifying and resolving challenges.
- Excellent communication and interpersonal skills, capable of building trust with both clients and internal teams.
- Proficiency in Microsoft Office Suite, SharePoint, Yardi, and CRM platforms.
- Ability to work independently and collaboratively in a fast-paced environment.
