San Jose, CA

Recruiting Program Management Intern

Location: San Jose, California, United States
Employment type: Internship

About the role

We are looking for a Recruiting Program Management Intern to join the Talent Acquisition team and help deliver organized, consistent, and engaging recruiting programs across the business. This is a hands-on opportunity to learn how recruiting teams plan and execute hiring initiatives, candidate experiences, interview operations, communications, and process improvements.

You will work with recruiters, recruiting coordinators, hiring managers, candidates, vendors, and cross-functional stakeholders to turn plans into clear timelines, reliable workflows, and well-executed experiences. The right candidate is organized, proactive, detail-oriented, and energized by coordinating people, information, and moving pieces toward a shared outcome.

What you’ll do

  • Support recruiting programs and hiring initiatives from planning through execution, including timelines, task lists, logistics, communications, and follow-up.

  • Maintain project plans, trackers, status updates, action items, risks, dependencies, and decisions so stakeholders know what is needed and when.

  • Coordinate candidate-experience workflows such as event registration, interview scheduling, interview materials, feedback collection, communications, and next steps.

  • Support recruiting events, networking activities, hiring meetings, and candidate touchpoints by coordinating details, capturing information consistently, and tracking follow-up owners.

  • Help maintain accurate recruiting and program data in Greenhouse and other approved systems, including requisition status, candidate information, interview progress, and next actions.

  • Prepare recurring reports, dashboards, presentations, FAQs, templates, email communications, and other materials that help recruiters, hiring teams, and candidates navigate recruiting processes.

  • Partner with recruiters, recruiting coordinators, Talent Acquisition, Human Resources, hiring managers, vendors, and other stakeholders to clarify requirements and keep work moving.

  • Document recruiting processes, playbooks, and operating procedures; identify gaps, duplicate work, and opportunities to improve team efficiency.

  • Develop or pilot an adopted process, tracker, resource, or other improvement that makes recruiting operations more consistent or scalable.

  • Track program outcomes, collect stakeholder feedback, summarize lessons learned, and recommend practical next steps.

  • Support recruiting-team training, process rollouts, communications, and other Talent Acquisition operations as assigned.

  • Own a defined internship project with mentor support, provide progress updates, and present the project’s results, documentation, and recommendations at the end of the internship.

What you bring

  • Currently pursuing a bachelor’s or master’s degree in human resources, business, communications, project management, operations, psychology, or a related field.

  • Strong organization, project-coordination, written-communication, and interpersonal skills.

  • Ability to manage details across multiple timelines, stakeholders, events, and deliverables.

  • Working knowledge of Microsoft Excel and PowerPoint, with the ability to create clear trackers, reports, and presentations.

  • Ability to learn new systems and processes, maintain accurate information, and follow through on commitments.

  • Strong judgment and discretion when handling candidate, employee, and business information.

  • Comfort asking questions, receiving feedback, solving problems, and adapting when plans or priorities change.

  • A proactive, collaborative, learning-oriented approach and enthusiasm for improving how recruiting operations work.

Preferred qualifications

  • Experience coordinating events, projects, volunteer activities, customer-facing work, or other people-focused initiatives.

  • Familiarity with applicant-tracking systems, project trackers, recruiting workflows, data reporting, or process documentation.

  • Experience creating communications, templates, presentations, FAQs, dashboards, or other materials that help a team work more efficiently.

  • Interest in Talent Acquisition, candidate experience, recruiting operations, program management, or process improvement.
