Overview: The Program Support Specialist will provide comprehensive administrative and operational support to the program management team. This role involves assisting in the coordination and execution of program activities, ensuring efficient workflow, and supporting the achievement of program objectives. The Program Support Specialist will play a key role in maintaining effective communication and collaboration within the team and with external stakeholders. This position is hybrid requiring 2-4 days per month in our McLean, VA Corporate Headquarters.
Key Responsibilities:
- Prepare and maintain program documentation, including reports, presentations, and correspondence.
- Schedule and coordinate meetings, conferences, and other program-related events.
- Assist in the development and monitoring of project plans, timelines, and deliverables.
- Track program milestones and provide regular status updates to the program management team.
- Coordinate with internal and external stakeholders to ensure timely completion of tasks and resolution of issues.
- Support the preparation of program budgets and track expenses against approved budgets.
- Collect, compile, and analyze program data to support decision-making and program evaluation.
- Prepare data summaries, charts, and graphs for reports and presentations.
- Maintain accurate and up-to-date databases and records.
- Serve as a point of contact for program inquiries and provide information to stakeholders as needed.
- Facilitate effective communication within the program team and with external partners.
- Assist in the development and dissemination of program-related materials, such as newsletters, brochures, and website content.
- Ensure program activities comply with relevant regulations, policies, and procedures.
- Participate in program audits and assist with the implementation of corrective actions.
- Support continuous improvement initiatives to enhance program efficiency and effectiveness.
Qualifications:
- Bachelor’s degree preferred. Equivalent work experience may be considered in lieu of a degree.
- 2+ years of experience in program support or administrative roles.
- Government contracting experience is required.
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and program management
- Ability to work independently and as part of a team in a fast-paced environment.
- Attention to detail and accuracy in work.
- Strong problem-solving skills and the ability to think critically.
