Athena Group Advisors (“Athena”) is the dedicated multi-family office of an investment firm.

 

Position Overview

Athena is seeking a Senior Associate of Events to support the family office enterprise, its clients, and affiliated non-profit organizations. This role reports to the Director of Property Management.

This is a hands-on, outcomes-driven role requiring maniacal attention to detail, focus on consistently delivering high-quality events and experiences, and superb follow-through. This role is ultimately accountable for internal and external events, and requires strong judgment under ambiguity, ability to maintain discretion and confidentiality, creative solutioning, and the ability to think on your feet.

 

Key responsibilities:

 Internal Events

  • Partner closely with various stakeholders to develop an annual corporate event strategy that supports the broader goals of the organization.
  • Plan and execute small intimate bespoke events for internal clients.
  • Coordinate with external vendors, including event planners, in the planning and execution of events.
  • Build events, communication campaigns, and marketing collateral; you will track registrations and engagements and utilize data to modify your outreach, engagement, interactions, and strategy accordingly.
  • Craft an event-in-a-box playbook and resource center to scale events.
  • Own systems management and reporting for team dashboards and platforms. You will conduct regular reporting of engagement activities; produce post-event analysis, budget evaluations, and participant feedback for internal stakeholders; incorporate lessons learned into future plans.

External Events

  • Serve as the primary point of contact for external partners booking our event space.
  • Manage our event space including space branding and marketing, fielding of partner requests, negotiating of partner agreements, negotiating and administration of vendor agreements, supervision of pre-event space setup and post-event break-down/cleanup.
  • Be present on-site during events to ensure smooth execution; serve as the point of escalation.
  • Maintain all partner and vendor agreements, liability insurance, and event documentation; create a system for tracking and monitoring.
  • Coordinate catering and food and beverage logistics, and other day-of logistics as agreed upon with external partners during the event planning processes.
  • Craft an event-in-a-box playbook and resource center for external events

 

Qualifications & Experience

  • 8+ years of experience planning and executing large-scale corporate events in a fast-paced environment
  • 4+ years of experience planning and executing small personal bespoke events
  • Proven track record of supporting high-quality, memorable experiences and managing to a budget
  • Demonstrated ability for accuracy and thoroughness; someone with an eye for detail, an appreciation for nuance, and outstanding written and verbal communication skills
  • Ability to participate in cross-functional team event execution from idea through execution and post-production analysis. You feel comfortable collaborating closely with both internal stakeholders and external planning partners
  • Ability to effectively troubleshoot and resolve last minute needs in fast-paced high-visibility situations
  • High EQ; able to persuade, influence, and build trust at the team and executive levels
  • Strong partnership skills – we are connectors at our core and find joy in building trust connections across the enterprise, within our portfolio, and with the industries we operate
  • Effective project management across functional initiatives; you enjoy thinking about organizational processes and improvements, internal communications, and creating consistently high-end experiences. You are comfortable navigating ambiguity and translating goals into meaningful plans and metrics
  • A strong sense of ownership and accountability for outcomes, follow-through, taking initiative, and demonstrated resilience when plans shift or challenges arise under pressure

 

Compensation

The base salary for this New York-based position ranges from $110,000 - $130,000, depending on experience, skills, and responsibilities. Actual salary may vary based on qualifications and the level at which the role is hired. In addition to the base salary, the role includes a discretionary incentive compensation program, and a comprehensive benefits package, including medical and life insurance, retirement plans, tax-free savings options, and access to additional healthcare programs.
