Atlantic Pipe Services is looking for a responsible Operations Administrative Coordinator to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Operations Administrative Coordinator responsibilities include preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a secretary or Executive administrative assistant and familiarity within the construction industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Primary Responsibilities:
- Review and process field staff work orders from the previous day.
- Allocate employee time across multiple job sites and projects.
- Enter and validate timecard data in spreadsheets and company ERP system.
- Submit accurate data to payroll for timely processing.
- Develop and maintain checks and review processes to ensure all work is verified and accurate.
- Communicate with supervisors when clarification or corrections are needed.
- Provide administrative support to the department and assist with additional duties as assigned.
Essential Functions:
- Daily timecard entry and spreadsheet management using Excel formulas.
- Upload and allocate job costing data into the company ERP system.
- Distribute next-day work orders to field personnel.
- Review and submit vehicle inspection logs.
- Maintain accurate and updated employee spreadsheets.
- Assist with inventory management: ordering, tracking, and recording.
- Generate weekly attendance reports for supervisors.
- Maintain office processes, documents, and procedures.
Qualifications & Skills:
- Proven experience in an administrative, payroll, or operations support role in construction or service based trade industry.
- Strong proficiency in Microsoft Excel (including formulas) and Outlook.
- Comfortable working with ERP systems or similar platforms (training available).
- Excellent attention to detail with the ability to spot discrepancies.
- Strong communication skills – written and verbal.
- Highly organized with strong time management and multi-tasking skills.
- Proactive mindset with the ability to follow up and ask the right questions.
- High school diploma required; additional experience in payroll/timekeeping preferred.
