As part of our Media Cost & Reconciliation team, you are a critical piece of the puzzle, ensuring every media investment is accurately documented, reconciled, and validated before it moves through the billing process. The Verifiers sit at the intersection of Media, Finance, and vendor partners, protecting trust through precision and helping ensure the integrity of every investment we manage.

Reporting to the Director, Media Cost Control, this role is ideal for someone who thrives on organization, enjoys solving problems, and takes pride in getting the details right. Your work helps ensure vendor invoices are accurately reconciled, discrepancies are resolved efficiently, and monthly billing cycles stay on track.

You may not be placing media or building plans, but your work is essential to making sure every media dollar is accounted for. Through careful verification, proactive communication, and disciplined attention to detail, you help safeguard our clients, our teams, and the trust we've built together.

WHAT YOU'LL DO

Media Cost Coordinators play an important role in supporting monthly billing cycles and maintaining accurate media cost records. Through strong attention to detail, proactive communication, and disciplined organization, you'll help ensure media investments are validated and documented correctly.

Key Responsibilities

Invoice Reconciliation & Billing Support

  • Reconcile vendor invoices against the MediaPro purchasing and planning system.

  • Research, investigate, and resolve invoice discrepancies in partnership with vendors and internal teams.

  • Maintain accurate records and supporting documentation throughout the reconciliation process.

  • Support monthly billing cycles by ensuring invoices are processed accurately and on time.

Reporting & Documentation

  • Create and maintain Excel reports identifying missing invoices for assigned products and media vendors.

  • Track outstanding invoices and follow up with vendors as needed.

  • Assist with importing, organizing, sorting, and filing station affidavits and proof of performance documentation.

  • Maintain organized electronic records to support billing accuracy and audit readiness.

Vendor & Internal Collaboration

  • Communicate professionally with media vendors to obtain invoices, clarify discrepancies, and resolve billing questions.

  • Partner with Media, Finance, and Media Cost Control teams to ensure accurate and timely reconciliation.

  • Escalate issues appropriately and proactively seek solutions to keep billing processes moving forward.

WHAT YOU'LL BRING

Experience & Technical Expertise

  • 0-2+ years of experience in billing support, reconciliation, accounting administration, media operations, finance, or a related field.

  • Basic to intermediate proficiency in Microsoft Excel, including sorting, filtering, and managing spreadsheets.

  • Ability and willingness to learn new software systems and internal tools.

  • Experience working with invoices, financial records, or administrative processes is a plus.

  • Media industry experience is helpful but not required.

Compensation: The estimated range for this role is $50,000 - $60,000. Compensation packages are based on the skill level and experience each candidate brings to the role.

LOCATION

We operate on a hybrid, in-office model designed to foster collaboration, mentorship, and hands-on learning. Employees are expected to work from the office three days per week (Tuesday, Wednesday, and Thursday) to fully experience the energy of our teams and build meaningful connections.
