Role Overview

The Resource Manager owns staffing, utilization, and capacity planning - the operational backbone of our client delivery engine. The role matches more than 150 consultants to the right engagements (400+), drives accountability against utilization targets, and serves as a trusted point of contact for the team on workload, availability, and project fit. This is a new role, created in response to significant growth across the firm over the past several years. It is an individual contributor seat with meaningful decision authority over staffing and utilization, reporting directly to leadership. 

Responsibilities

Staffing & Allocation

  • Manage end-to-end staffing for ~200 consultants across active client engagements.
  • Match consultants to projects based on skills, experience, development goals, and availability.
  • Maintain a real-time view of who is on what, for how long, and at what capacity.
  • Partner with engagement leads and Partners to forecast staffing needs 4–8 weeks out.
  • Resolve staffing conflicts and bottlenecks proactively before they become escalations.

Utilization & Capacity Planning

  • Own firm-wide utilization metrics; track, report, and drive accountability against targets.
  • Identify under- and over-utilized consultants and rebalance assignments accordingly.
  • Build and maintain dashboards and reporting cadences for Partners on staffing and utilization health.
  • Surface capacity gaps and inform hiring forecasts in partnership with Talent and Finance.
  • Wrangle and transform large, messy data sets from multiple sources into clean, presentable metrics and visuals that drive decisions.

Operational Excellence & Cross-Functional Partnership

  • Build and continuously improve staffing processes, tooling, and documentation
  • Partner closely with Finance to align on utilization metrics, billable hour definitions, revenue forecasting, and margin health—ensuring staffing decisions are grounded in the numbers that matter
  • Partner closely with Business Development to understand the incoming pipeline, anticipate staffing needs from deals in flight, and flag capacity constraints before they impact close decisions
  • Collaborate with Talent on workforce planning, hiring forecasts, onboarding, and offboarding

Systems, Tools & Process Optimization

  • Build and maintain simple, effective systems (trackers, dashboards, workflows) to improve visibility and organization
  • Utilize tools such as Google Sheets, Monday, Hubspot,  modern AI tools (LLMs, custom agents, automations) or similar platforms to manage work
  • Identify inefficiencies and proactively implement improvements
  • Continuously explore ways to use technology to streamline administrative and operational work

Requirements

  • 5+ years of experience in resource management, staffing, practice operations, ideally within consulting, professional services, or a high-growth startup.
  • Demonstrated ability to manage staffing or operations for a team of 100+ professionals.
  • Strong analytical and operational instincts: comfortable with utilization math, capacity modeling, and building reporting from the ground up.
  • Excellent judgment and people skills—able to navigate sensitive conversations with empathy and discretion.
  • High ownership mentality; thrives in ambiguity and builds structure where none exists.
  • Direct, clear communicator who can interface with Partners, consultants, and cross-functional leaders.
  • Process-minded with a bias for automation: you spot inefficiencies, design cleaner workflows, and aren't afraid to rebuild a system that's slowing the team down
  • Hands-on experience with the modern operations stack—Monday.com, Bizinta (or comparable PSA/resource planning tools), HubSpot, and AI tools like Claude—and comfort integrating them to create a single source of truth
  • Comfortable operating at the intersection of Finance, BD, and Delivery—translating pipeline signals and financial metrics into staffing and capacity decisions 
  • Excel power user with strong data analytics chops—able to manipulate large data sets, build pivot tables and models, and translate raw data into clear, presentable metrics for leadership team
  • Preferred:  Familiarity with professional services economics or accounting/finance environments

Location/Travel

  • Remote - Pacific Time Zone, preferred but not required
  • Ability to travel at least twice a year for All-Staff Retreats & Regional Meetups

Reports To: Partner

Hourly Rate:  $60-80/hour

Position Status: Part-time, 20-30hrs/week.
