Join Atwell as an Administrative Assistant and be at the heart of our vibrant Real Estate Land Development Consulting team. You'll provide crucial support while diving into a variety of dynamic tasks. The ideal candidate will be responsible for enhancing the firm’s effectiveness by providing administrative and project related administration to the LDSE Team. This role necessitates your physical presence at our location and readiness to travel to other commuter offices as required to provide support. 

Description

Administrative Functions:

  • First point of contact representing Atwell, greets visitors and clients in a polite, professional demeanor.
  • Ordering and maintaining office supplies and equipment maintenance.
  • Prepare for staff and client meetings - planning, refreshments, prep-set up and break down; calendar management; facilitate incoming and outgoing mail (including FedEx/UPS/courier).
  • Arrange all aspects of travel; arrange flights, hotels, rental car, travel profiles and obtain necessary approvals.
  • Coordinate with reprographics and mail services.
  • Reconcile monthly credit card statement providing documentation for each transaction.
  • Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system/office access.
  • Liaison with building landlord as needed.
  • Performs other administrative tasks as assigned.

Project Administrative Functions:

  • Provide administrative support to project teams including formatting utilizing Microsoft Office Suite and Adobe Acrobat Pro.
  • Collaborate with engineers to determine the specifications of the project.
  • Prepare proposals, permit applications, reports, and conduct proofreading to ensure accuracy.
  • Prepare letters with information from various districts, county, and city websites.
  • Assist with input and logging of RFIs, Submittals, Drawings, Meeting Minutes, Transmittals, Legal Advertisements.
  • Schedule Client and Project Manager meetings.
  • Lead project deliverable packages whether print or digital.
  • Deltek Vision project data entry (e.g. new opportunities and purchase orders).
  • Assist with special projects and other tasks, as assigned.

Qualifications:

  • Effective communication skills at all levels.
  • Responsiveness to management feedback.
  • Strong organization and time management.
  • Quick learning and retention.
  • A valid driver's license and a good driving record for company vehicle use.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and Project.

Education/Experience:

  • High school diploma or GED
  • Experience in the Real Estate Land Development field required
  • Minimum of three years of related experience and/or training, or an equivalent combination of education and experience
