As an Administrative Assistant and be at the heart of our Survey & Real Estate Land Development Consulting team. You'll provide crucial support while diving into a variety of dynamic tasks. The ideal candidate will be responsible for enhancing the firm’s effectiveness by providing administrative and project related administration to the Survey & Real Estate Land Development Consulting Team. This role necessitates your physical presence at our location.

Description

Administrative Functions:

  • First point of contact representing Atwell, greets visitors and clients in a polite, professional demeanor.
  • Ordering and maintaining office supplies and equipment maintenance.
  • Prepare for staff and client meetings - planning, refreshments, prep-set up and break down; calendar management; facilitate incoming and outgoing mail (including FedEx/UPS/courier).
  • Arrange all aspects of travel; arrange flights, hotels, rental car, travel profiles and obtain necessary approvals.
  • Coordinate with reprographics and mail services.
  • Reconcile monthly credit card statement providing documentation for each transaction.
  • Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system/office access.
  • Liaison with building landlord as needed.
  • Performs other administrative tasks as assigned.

Project Administrative Functions:

  • Provide administrative support to project teams including formatting utilizing Microsoft Office Suite and Adobe Acrobat Pro.
  • Collaborate with engineers and survey to determine the specifications of the project.
  • Prepare proposals, permit applications, reports, and conduct proofreading to ensure accuracy.
  • Prepare letters with information from various districts, county, and city websites.
  • Assist with input and logging of RFIs, Submittals, Drawings, Meeting Minutes, Transmittals, Legal Advertisements.
  • Schedule Client and Project Manager meetings.
  • Lead project deliverable packages whether print or digital.
  • Deltek Vision project data entry (e.g. new opportunities and purchase orders).
  • Assist with special projects and other tasks, as assigned.

Qualifications:

  • Effective communication skills at all levels.
  • Responsiveness to management feedback.
  • Strong organization and time management.
  • Quick learning and retention.
  • A valid driver's license and a good driving record for company vehicle use.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and Project.

Education/Experience:

  • High school diploma or GED
  • Experience in the Real Estate Land Development/ Survey field required
  • Minimum of three years of related experience and/or training, or an equivalent combination of education and experience
