About the role

The HRIS Data Entry Specialist is responsible for accurately and efficiently entering, maintaining, and auditing employee data within the Human Resources Information System (HRIS) and related HR systems. This role plays a critical part in ensuring the integrity, confidentiality, and accessibility of HR data, supporting various HR functions, and contributing to data-driven decision-making.

About the team

The Information Technology Team at Auctane is dedicated to servicing the needs of the business and the team members who keep it running.  As a team, we work across all departments of the business. Though we’re a fast-moving team with a lot of responsibilities, we work together to ensure that every aspect of an employee’s experience is thoughtfully considered and weighed against the values of the organisation.

What will you be doing?

  • New Hire Onboarding: Seamlessly managing the HRIS aspects of the new hire process, from initial data entry to system setups.
  • Executing Data Updates: Accurately processing and maintaining all employee data changes within the HRIS or HR System landscape, including job title, salary, department, manager changes, and other vital information, keeping our records precise and up-to-date.
  • Data Integrity: Proactively conducting regular data audits to identify and resolve discrepancies, ensuring the highest level of data accuracy and reliability across our systems.
  • Managing Approval Workflows: Overseeing and optimizing HRIS approval workflows, ensuring timely and compliant processing of various HR actions.
  • Streamlining Processes and Documentation: Developing and maintaining clear process flows and data management documentation, contributing to our operational efficiency and knowledge sharing.
  • Supporting System Changes: Actively participating in HRIS system changes and enhancements, including testing, implementation support, and providing valuable input to improve functionality.
  • Reporting:  Generating general reports and analytics from the HRIS to support HR initiatives or request.
  • Troubleshooting Integration Failures:  Investigating and troubleshooting integration failures between the HRIS and other connected systems, ensuring seamless data flow and operation continuity.

What are we looking for?

  • Education: High school diploma or equivalent required. Associate's or Bachelor's degree in Human Resources, Business Administration, Information Systems, or a related field is a plus.
  • Experience:
    • Proven experience (2-3 years preferred) in data entry, administrative support, or a similar role, ideally within a Human Resources department.
    • Experience with HRIS systems (e.g., ADP, Workday, SAP SuccessFactors, Oracle HCM, UKG, Paycom) is highly desirable.
  • Skills:
    • Exceptional attention to detail and accuracy.
    • Strong organizational and time management skills.
    • Proficiency in Microsoft Office Suite, particularly Excel (for data manipulation and reporting).
    • Excellent typing speed and data entry skills.
    • Ability to handle sensitive and confidential information with discretion and professionalism.
    • Strong written and verbal communication skills.
    • Ability to work independently and as part of a team.
    • Problem-solving aptitude for identifying and resolving data discrepancies.

  • Advanced HRIS Proficiency: Demonstrated expertise with specific, complex HRIS modules (e.g., advanced reporting, system configuration, integration with other platforms).
  • Data Analysis Skills: Ability to not just enter data, but also analyze it to identify trends, recommend process improvements, or contribute to HR metrics.
  • Process Improvement Mindset: A proactive approach to identifying inefficiencies in data entry or HR processes and suggesting solutions.
  • Experience with System Implementations/Upgrades: Having played a role in an HRIS implementation, migration, or major upgrade.
  • Cross-functional Collaboration: Proven ability to work effectively with IT, Payroll, and other departments to resolve data-related issues or optimize workflows.
