About the role

You will be part of the local HR team 🇪🇸 (3 people), and part of our global corporate HR group (+25 people).
We are a hands-on team that operates very close to the business. 

We’re not a “policy factory” or a purely strategic function. We’re deeply involved in day-to-day realities, solving problems, unblocking situations, and supporting people when they need (which normally is every day for multiple reasons) 🤓

We operate in a dynamic, international environment where priorities can evolve as the business grows. This requires strong ownership, sound judgment, and the ability to prioritise effectively in situations where not everything is predefined.

What will you be doing?

We are looking for a proactive and resourceful Office Manager to support the daily operations of our Spain workspace. While our setup is remote-first, we maintain a physical co-working space in the heart of Madrid where we frequently host teams and visitors from across the company. 

This role ensures smooth coordination of logistics, a positive employee experience, and seamless collaboration with our global Office Management team.

Remote work days are available; however, priority will always be given to covering the needs of the physical workspace. While a 3–2 on-site/remote split is expected to be the most common arrangement, this may vary depending on specific circumstances and operational requirements.

What are we looking for?

  •  Serve as the primary point of contact for employees and visitors at the Madrid office, ensuring a welcoming, seamless, and high-quality employee experience at all times.
  • Own the end-to-end management of business travel and reservations, acting as the main contact for employees, providing hands-on support, resolving issues, and ensuring a smooth travel experience.
  • Coordinate all visitor logistics, including access to the co-working space, local guidance, scheduling, and on-site support, with a strong service-oriented mindset.
  • Plan and execute on-site and off-site meetings and events, including venue research, vendor coordination, negotiations, and catering, with attention to detail and employee experience.
  • Manage office supplies and merchandising, including welcome packs and employee gifts, contributing to a positive and consistent workplace experience.
  • Support administrative and operational processes such as budget tracking, invoice management, and coordination with Finance, ensuring efficiency and accuracy.
  • Partner closely with global Office Management and HR teams to align on office-related strategies, standards, and initiatives.

  • Maintain and update local policies, procedures, and documentation related to the role’s scope, ensuring clarity and compliance.
  • Keep global teams informed about key events, updates, and relevant information happening, having happened, or planned at the Spain hub.

  • Support HR & IT on employee onboarding and offboarding in areas related to office operations, workplace setup, access, and logistics, ensuring a smooth and positive experience at key employee lifecycle moments.



What will make you stand out?

  • English proficiency C1 or higher 
  • Strong communication and interpersonal skills.
  • Ability to work independently, prioritize tasks, and solve problems quickly.
  • Proactive, solution-oriented, and reliable mindset.
  • At least 5 years of hands-on experience in similar roles and environments, managing comparable responsibilities end to end.
