Construction Administrative Assistant
We are seeking a detail-oriented and proactive Construction Assistant to support our operations team. This role plays an essential part in ensuring the smooth operation of project administration by managing documentation, coordinating with subcontractors and vendors, and maintaining accurate records throughout the project lifecycle. The ideal candidate will have strong organizational skills, the ability to anticipate potential challenges, and a problem-solving mindset to keep projects running efficiently.

Position Description
- Perform administrative support tasks for assigned project teams with a proactive and solutions-oriented approach.
- Set up and maintain new projects in the construction database.
- Ensure all filing for Construction team projects is completed.
- Contacting Subcontractors and Vendors as necessary, following up on outstanding items, and resolving issues before they escalate.
- Issue Subcontracts and Purchase Orders and ensure Subcontracts and Purchase Orders are signed.
- Processing submittals and RFIs through the Project Team (i.e., Architects, Owners) while tracking responses to prevent bottlenecks.
- Maintain project drawings. Log and issue revisions.
- Prepare close-out manuals after substantial completion of each project, and ensure that warranties, test reports and operation, and maintenance instructions are included.
- Compile all information required for retention at the completion of a project.
Position requirements:
- Candidates should have a high school diploma or equivalent, and a minimum of three (3) years of Administrative Assistant experience.
- Proficient in using Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Excellent verbal and written communication skills, with a demonstrated ability to communicate and collaborate effectively with employees, vendors, and subcontractors.
- Strong organizational and time management skills.
