What You’ll Do
The Front Desk Coordinator will be responsible for many different tasks related to the operations of Authentic business. They will field calls and maintain calendars. Additionally, this individual will organize reports and documents to ensure ease of access. You will take ownership and responsibility of administrative tasks and act independently. You will communicate and partner with all levels of internal management and staff, as well as our outside business partners.
What you’ll be working on
- Greet guests & notify employees when their guests arrive
- Check in guests via visitor system (Authentic guest registration)
- Add guests into iVisitor as needed (building system)
- Answer main line phone, respond to or forward calls to necessary employees
- Assist employees to book showrooms for meetings
- Correspond with building maintenance / management for work orders
- Sign for packages, create labels for packages using Fedex system
- Collect shipping approval forms and coordinate with AP on bill reconciliation
- Coordinate pickups with messenger service and review billing
- Monthly American Express card reconciliation
- Assist operations team in setting up events
- Correspond with 3rdparty vendors for on-site visits, printer issues, etc.
- Ensure reception area is tidy and presentable
- Run errands as necessary (minimal – on occasion will need to make a trip to the post office or pick something up)
- Back up for Operations Coordinator as needed (mail, stocking pantries with snacks and supplies, etc.)
Must Haves:
- Must have prior experience as a receptionist, office coordinator
- Pleasant personality, sense of humor & professional appearance
- Ability to operate effectively & efficiently in a fast-paced environment
- Must exhibit excellent attention to detail and good organizational skills
- Must have a working knowledge of Mac computers, MS Office. (Word, Excel, Outlook, etc.)
- Must be energetic, highly motivated and able to multi-task
- Must take ownership of tasks and be able to follow through independently
- Excellent written, interpersonal and communication skills – the person in this position will be communicating with all employees and guests
- Ability to maintain an open dialogue with supervisors in order to meet office needs efficiently
Primary Location Hourly Range:
$25.00 - $30.00
