What You’ll Do
We are looking for an experienced Executive Assistant to join our busy, hardworking, and successful team to provide executive-level support to several of Authentic's Executives. The Executive Assistant to Senior Leadership will deliver comprehensive, white-glove administrative support. To be successful in the role, you should have exceptional intellectual capability, resourcefulness, and excellent communication skills. You should also be professional, responsive, and above all, service driven. The Executive Assistant should have an organizational flair, a strong eye for detail, and the ability to manage complex projects effectively.
What You’ll Be Working On
- Proactively manage and coordinate Senior Leaders' calendar schedules.
- Coordinate all travel, domestically and internationally, for Senior Leaders, including assisting with obtaining passports and visas. Be available during off hours during international travel to assist with any adjustments that may arise.
- Manage and schedule all global meetings and leadership meetings, both on-site and off-site, including phone and onsite interview coordination.
- Prepare and deliver high-quality PowerPoint presentations for a variety of events.
- Compile data, conduct research, and assist in coordinating activities for the executive staff.
- Acquire necessary signatures and process invoices for Senior Leaders.
- Maintain accurate and timely expense reporting.
- Act as a liaison for VIP guests, clients, and customers to ensure their experience is stellar.
- Handle miscellaneous administrative duties as needed.
- Organize and actively participate in leadership staff meetings.
- Manage multiple projects, ensuring timely delivery and high-quality outcomes.
- Ad Hoc duties as assigned.
Must Haves:
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- 3-5 years of experience supporting senior leadership in the lifestyle, entertainment, or media industry (preferably in a startup space).
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Word) and Google Workspace.
- Excel: Ability to perform data analysis, create reports, and manage spreadsheets with advanced functions.
- PowerPoint: Expertise in creating visually appealing and effective presentations.
- Demonstrated ability to manage complex projects and initiatives independently.
- Experience supporting C-suite or executive-level leaders.
- Exceptional organizational skills and a high degree of attention to detail.
- Ability to exercise independent judgment while handling multiple tasks.
- Strong interpersonal skills and the ability to partner with various functions while maintaining confidentiality.
- Continuous improvement mindset with a focus on streamlining processes, programs, and meetings.
- An "always-on" approach to work and availability.
- Previous executive-level experience in fast-paced, dynamic environments.
Primary Location Salary Range:
$90,000 - $100,000
