Facilities Coordinator II

Job Overview:

The Facilities Coordinator is responsible for processing requests received by the Facilities department. This position interacts with teammates, departments, and leadership to coordinate scheduling and ensure that Facilities-related needs are addressed promptly and professionally. When cross-functional projects occur, the facilities Coordinator serves as a liaison between departments, manages service scheduling, communicates relevant updates, and ensures documentation is complete for proper closure.

 

Key Responsibilities:

  • Building Maintenance and Repairs:

Coordinating and supervising maintenance activities for equipment, building systems (including HVAC, electrical, and plumbing), as well as the facility's structural components.  

  • Security and Safety:

Oversee safety compliance, manage security systems, create emergency plans, and attend regular meetings.

  • Event Planning

Provide support for company events, including planning, setup, catering coordination, and stage logistics. Assist administrative assistants with catered meetings and events, handling delivery and clean-up tasks as needed.

  • Mail Shipping and Receiving

Distribute mail, coordinate between the Director of Facilities and vendors, and manage postal equipment.

  • Vendor Management:

Liaising with external contractors to facilitate maintenance, repairs, and additional services.  

  • Space Management:

Manage office space allocation, coordinate moves and renovations, and update seating plans and office signage weekly on the internal site. Move furniture as needed.

  • Administrative Tasks:

Manage purchase/work orders and facility expense records.

Monitor Facilities emails daily, log work requests, track progress, and report overdue items.

Process amenity service requests for Charlotte campus events.

Draft department, site, or company-wide Facilities updates.

Maintain office supplies and coordinate with vendors on accounts.

Assist leadership with onboarding, offboarding, and teammate relations.

  • Communication and Coordination:

Acting as the contact for tenants, employees, and vendors, and managing facility-related communications.

  • Meeting and Conference room

Assists with booking designated rooms throughout the campus.

Setup table and chair configuration

  • Food and Beverage

Oversee food services, assist with negotiating contracts, and introduce new vendors and ideas.

 

  • Compliance:

Ensuring that the facility meets applicable regulations and safety standards.

 

Additional Information:

  • Ability to lift up to 50 lbs.
  • Capable of walking, standing, and sitting for extended periods.
  • Willingness to work occasionally scheduled overtime as needed.
  • Able to perform effectively in a fast-paced, agile environment.
  • Required to work in the office five days a week with some flexibility
