Role summary

The Finance Operations Specialist is a key liaison between the finance department and the business's operational teams. This role combines hands-on responsibilities for operational finance processes, including vendor management and invoice processing, with a proactive business partnering approach to ensure financial accuracy, compliance, and efficiency. The ideal candidate is detail-oriented, a strong problem-solver, and a collaborative communicator.

 Key accountabilities and responsibilities

Financial Operations and Controls:

  • Manage the full procure-to-pay (P2P) cycle, including processing purchase orders (POs), verifying invoices, and ensuring timely payment to vendors.
  • Serve as the primary point of contact for internal stakeholders regarding PO and invoice-related queries, providing guidance and resolving issues promptly.
  • Approve PO requests, ensuring correct general ledger (GL) and cost center coding in line with internal control processes and budget alignment.
  • Oversee supplier statement reconciliation and liaise with the Accounts Payable team to resolve outstanding items.

Business Partnering:

  • Build and maintain strong, collaborative relationships with cross-functional teams, such as Operations, Procurement, Marketing, and HR, to streamline finance processes.
  • Provide financial support and guidance to non-finance colleagues, helping them understand their P&L impact and budget adherence.
  • Conduct financial analysis on areas related to vendor spend, freight costs, and operating expenses, identifying cost drivers and potential savings.

Process Improvement:

  • Identify inefficiencies in finance operational workflows and actively contribute to process enhancements and automation initiatives.
  • Participate in ad-hoc finance projects and cross-functional initiatives aimed at improving efficiency and strengthening financial controls.
  • Assist in training non-finance personnel on financial processes and systems to ensure company-wide compliance and accuracy.

Candidate requirements

Education and Experience:

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
  • CPA qualification or similar
  • Ideally, 4+  years of experience in finance operations and accounts payable
  • Experience in the pharmaceutical sector is an advantage.

Skills and Competencies:

  • Systems Proficiency: Experience with an ERP system (e.g., SAP, Oracle, Workday) is highly desirable, along with advanced Excel skills (pivot tables, formulas).
  • Problem-Solving: Proven ability to investigate and resolve complex issues related to procurement and finance.
  • Attention to Detail: Meticulous approach to work, with a high level of accuracy in data entry and reconciliation.
  • Communication: Excellent verbal and written communication skills, with the ability to effectively liaise with both internal colleagues and external vendors.
  • Adaptability: Resourceful and flexible, with the ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.
