Workplace Experience Strategist
We are looking for a talented, organized, and people-focused individual to join our unique culture of teamwork and collaboration as a Workplace Experience Strategist. In this role, you will serve as the welcoming face of our Redwood City office while supporting day-to-day office operations, team member experience, and workplace logistics. You will manage a wide range of responsibilities, including front desk reception, office and facilities coordination, vendor partnerships, and internal communications. You will also play an important role in creating an engaging team member experience through event planning, seasonal programming, and thoughtful support for onboarding and office celebrations.
We are seeking someone who is detail-oriented, thrives in a fast-paced environment, and can confidently multitask across shifting priorities. Strong written and verbal communication skills are essential, as you will partner with team members across the organization and serve as the go-to resource for office needs. This role helps set the tone for a warm, organized, and welcoming workplace.
This position reports to the Director, People Experience. It is a full-time, in-office role based in Redwood City, CA, and requires working onsite five days per week.
What you’ll do:
Front Desk Reception:
- Welcome guests to Balsam Brands, serving as the first point of contact and creating a positive office experience
- Answer and direct inbound telephone calls
- Receive, sort, and distribute incoming mail, packages, and deliveries, including scanning documents for various teams
- Process outgoing shipments and coordinate special mailings as needed
- Check the Woodside Plaza mailbox weekly (and twice per week during In Season)
- Provide general administrative support such as filing, faxing, word processing, and maintaining the front desk environment
Office Management:
- Maintain organization and cleanliness of the office, including conference rooms, kitchen, and shared spaces
- Manage office supply inventory, restocking snacks and essential materials while anticipating team needs
- Oversee seating charts, desk assignments, and office norms, communicating changes clearly to team members
- Coordinate facility repairs, routine inspections, and emergency maintenance in partnership with property management and outside contractors
- Serve as the primary point of contact for office vendors and service providers (cleaning, security, printers, coffee service, parking, etc.)
- Manage parking spaces and coordinate with external partners as needed, including towing and building management
- Scan and deposit checks when required
Team Member Experience:
- Support a welcoming and engaging team member experience through planning and executing in-person and virtual events
- Organize office lunches, happy hours, celebrations, volunteer opportunities, onboarding welcomes, milestone events, and seasonal gatherings
- Support the strategy and execution of In Season perks and programming (October–January), coordinating with international counterparts and managing budgets
- Support team gifting programs, including birthdays, anniversaries, sympathy and wellness gifts, and Benepass funds
- Provide event logistics support, including catering, supplies, setup, and teardown for offsites and company trips
- Offer basic graphic design support for event materials as needed
Onboarding, Offboarding & Internal Support:
- Assist with onboarding by preparing workspaces, assigning desks, issuing office access (keys/fobs), and coordinating with IT for equipment needs or shipping
- Support offboarding processes, including equipment recovery and desk resets
- Communicate office updates and announcements via email, Slack, and in-person as needed
- Provide Zoom Room and meeting support when required
- Assist with special projects, printing, packaging, and other operational needs as they arise
- Maintain flexibility to occasionally work outside traditional business hours to meet vendors or respond to urgent facility issues
Manage Balsam Brands 4 plex on Arguello St in Redwood City:
- Includes communicating with internal and external guests for bookings reservations, how to enter the apartment, and issues that arise during their stay
- Scheduling cleanings and landscape teams for routine cleaning and maintenance
- Tracking and ordering supplies to keep the apartments functional and stocked
- Coordinating with Purple Tie for laundering linens
- Put out and take in trash and recycling cans on trash days
What you bring to the table:
- Minimum 2 years work experience
- Excellent communication skills, both written and verbal
- Outstanding organizational skills
- Bachelor’s degree preferred
- Willingness to find solutions to problems
- Welcoming and open presence
- Ability to accept additional responsibilities and assist others as needed
- Experience with MS Office suite (including Outlook, Word, Excel, and PowerPoint) and MS Teams
- Experience with Zoom and Slack
- Regularly lift and/or move items up to ten pounds
- Occasionally lift and/or move items up to fifty pounds
- This role requires a valid driver’s license and proof of insurance, as well as access to a dependable personal vehicle

The base pay range for this position is: $63,334 to $79,168. Please note that placement within the posted salary range is based on several factors, including geographic location, experience, skills, alignment with role requirements and other job-related factors. It is uncommon for offers to be made at the top of the range, as this typically reflects a candidate who exceeds all role requirements and brings significant, directly applicable experience. We benchmark our pay ranges against current external data sources and regularly review compensation for our team members.
