Payroll Tax Filing Specialist
Please Note: This is an in-office position which will require working at our Draper, UT headquarters. Hours are Monday through Friday, 8 AM to 5 PM (MST). Additionally, employment with BambooHR is contingent on passing both a background and credit check.
Essential Job Duties
A Payroll Tax Filing Specialist is dedicated to ensuring the accurate filing of our clients' paper payroll tax returns. This role stands out because it focuses on overseeing the entire paper-based tax filing process, from start to finish. You'll manage client tax accounts in BambooHR and research tax agency rules, but your primary responsibility will be to coordinate, oversee, and audit the printing, mailing, and shipping processes of these paper returns. Ultimately, you'll ensure that all paper tax filings are correctly printed and successfully submitted for our clients.
- Maintain workload with a focus on agencies that require paper filings.
- Coordinate, oversee, and audit the print process for paper returns and checks (periodic, quarterly, and annual) for timely mailing and tracking
- Research tax setup and agency rules, specifically for paper filing requirements
- Demonstrate knowledge of printing, mailing, and shipping processes
- Be familiar with printing equipment
- Understand shipping terms and mailing methods
- Maintain client tax account maintenance
- Work with clients or other internal teams to service the tax accurately
- Support the research and resolution of tax notices
- Collect and return tax monies from clients
- Maintain Tax Filing Documentation and heed department and company SOPs in Slite
- Monitor the Service Cloud queues to ensure SLA’s are met
- Perform filing and payment tasks
- File returns by specified deadlines (may include electronic filings as necessary)
- Prepare and process late filings (may include electronic filing as necessary)
- Research and resolve out-of-balance tax payments
- Audit peer electronic tax filings as needed
- Maintain tracking documents
- Apply ancillary fees for billable services
- Assist other payroll departments and teams with tax-related tasks
Role Requirements
- 1-2 years of payroll tax experience, tax filing knowledge is a plus
- Attention to detail, priorities, and problem solving skills
- Ability to work under pressure with a high volume of tasks and multiple deadlines
- Self-starter and able to work independently
- Driven by deadlines to meet SLAs
- Good written and oral communication
- Collaborative and able to use resources across teams
