Administrative Assistant
In-Office - Please Note: This is an in-office position which will require working at our Draper, UT headquarters. Additionally, employment with BambooHR is contingent on passing both a background and credit check.
Essential Job Duties
BambooHR is looking for an Administrative Assistant to help keep our Revenue & Product leaders and teams running smoothly. This role is perfect for someone who enjoys bringing order to busy days, managing details with care, and supporting leaders so they can focus on the bigger picture. You’ll coordinate calendars, meetings, travel, and team logistics while ensuring things stay organized. Our organizations move quickly, so this role is best suited for someone who can prioritize effectively, adapt when plans change, and stay calm and organized in a fast-paced environment. You’ll also work closely with leaders and partner with other administrative professionals across the company, so collaboration and strong communication are key. If you enjoy being the person who keeps things moving, solves problems, and helps teams stay aligned, this role could be a great fit.
You will:
- Keep schedules running smoothly: Coordinate calendars, schedule 1:1s and team meetings, and help ensure leaders stay organized and prepared. Capture and share notes when needed.
- Coordinate travel: Book flights, hotels, and rental cars while making sure plans align with schedules and preferences.
- Support team events and meetings: Help plan and coordinate internal meetings, offsites, and events following clear direction.
- Help manage communication: Assist with organizing inboxes and prioritizing messages so leaders can stay focused on what matters most.
- Prepare reports and materials: Compile reports, data, or presentations for review by senior team members.
- Handle sensitive information with care: Maintain confidentiality and use sound judgment when working with private or sensitive information.
- Provide day-to-day operational support: Help leaders and teams stay organized by applying company processes and resolving routine needs.
What You Need to Get the Job Done
- Bachelor’s degree and at least 2 years of relevant administrative experience, or equivalent experience
- Strong organizational skills and attention to detail
- Ability to prioritize work and stay organized in a fast-paced environment where plans can shift quickly
- Comfort working with general guidance while taking ownership of day-to-day tasks
- Strong communication and collaboration skills, including the ability to work effectively with leaders and other administrative partners
- Discretion and professionalism when handling sensitive information
- Proficiency with G Suite tools (Gmail, Calendar, Docs, Sheets, Slides) and other common productivity tools
