Job Description: 

We are seeking a talented and experienced Executive Assistant to provide comprehensive administrative support to our senior management team. This is a unique opportunity to support top executives in a growing organisation. You will manage their schedules, coordinate travel arrangements, financial planning and reporting, handle communications, and assist with various administrative tasks to ensure smooth operations.

 

Key Responsibilities:

- Manage and coordinate the CEO schedule, appointments, and meetings.
- Support with financial planning and reporting.
- Book flights, accommodations, and transportation for business trips.
- Monitor and manage the C-suite executives email inboxes, ensuring timely responses and
prioritisation.
- Handle various administrative tasks, including filing, document preparation, and office organisation.
- Create agendas, briefing notes, follow ups and edit PowerPoint presentations for meetings and
events
- Organise and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Serve as a point of contact between the C-suite executives and internal/external stakeholders.
- Track and manage expense reports and budgets for the C-suite executives.
- Handle sensitive information with the utmost discretion and confidentiality.
- Assist with special projects and initiatives as needed.
- Act as a trusted adviser to the C-suite executives, ensuring their time is focused on what matters most.
- Create systems and processes that set the standard for excellence and time optimisation.
- Interact with other staff as an initial point of contact.

 

Key Requirements:
- Proven experience as an Executive Assistant or similar role.
- Exceptional organisational and time-management abilities.
- Excellent verbal and written communication skills.
- Advanced knowledge and experience of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and accuracy.
- Ability to anticipate needs and proactively address issues.
- Strong interpersonal skills and the ability to work effectively with diverse teams.
- Demonstrated ability to handle confidential information with discretion.

Desirable Requirements:
- Familiarity with the tech industry and its dynamics.
- Experience with project management tools and methodologies.
- Ability to manage multiple tasks and priorities simultaneously.
- Good understanding financial metrics and KPIs.
