Barbaricum is seeking an Administrative Professional to provide comprehensive administrative and operational support for Department of Defense (DoD) programs. The successful candidate will support daily office operations, executive scheduling, meeting coordination, travel planning, personnel administration, and organizational communications while ensuring exceptional customer service and mission support. This position is primarily located on-site at Aberdeen Proving Ground (APG), Maryland, with occasional CONUS and OCONUS travel as required.

Responsibilities

  • Provide professional, responsive, and timely administrative support to Government leadership, program offices, and mission stakeholders.
  • Coordinate and schedule meetings, conferences, working groups, and special events, including reserving meeting space, coordinating logistics, and supporting on-site execution.
  • Prepare, edit, consolidate, and distribute presentations, executive briefings, staff reports, activity reports, agendas, correspondence, and other administrative documentation.
  • Record, prepare, and distribute meeting minutes, ensuring action items and decisions are documented and tracked to completion.
  • Coordinate pre- and post-event activities, including stakeholder communications, agenda development, biography collection, protocol coordination, room preparation, and audiovisual support.
  • Support the planning, coordination, documentation, and execution of Government exchanges, conferences, and other collaborative initiatives involving DoD and external Government organizations.
  • Maintain organizational calendars, coordinate executive schedules, and ensure timely communication of meetings, milestones, and deadlines.
  • Maintain personnel rosters, organizational contact lists, and administrative records to ensure accurate and current information.
  • Track personnel certifications, mandatory training, non-disclosure agreements (NDAs), and other compliance documentation for Government, military, and contractor personnel.
  • Support personnel onboarding and offboarding activities, including processing access requests, Common Access Cards (CACs), security badging, equipment requests, network access, and other Government-directed administrative requirements.
  • Update and monitor Government time and attendance systems, personnel accountability tools, and daily status reporting.
  • Maintain organizational procedures, files, records, and knowledge repositories to ensure accurate documentation and efficient information management.
  • Prepare, route, and track official correspondence, memorandums, agreements, and other administrative packages through appropriate approval channels.
  • Assist with domestic and international travel planning, including preparing travel authorizations, travel packets, itineraries, and supporting documentation in accordance with Government policies and organizational requirements.
  • Coordinate travel using Government-approved travel systems and track required documentation, including theater business clearances, letters of authorization, medical requirements, and CONUS Replacement Center (CRC) processing when applicable.
  • Consolidate and prepare travel reports and provide administrative support for mission-related travel activities.
  • Coordinate with Government personnel, military members, contractors, and external stakeholders to ensure effective communication and successful execution of administrative and operational requirements.
  • Identify opportunities to improve administrative processes, workflow efficiency, and organizational effectiveness while supporting mission objectives.
  • Perform additional administrative and operational support duties as assigned in support of Government mission requirements.

Required Qualifications:

  • Active DoD Top Secret/SCI clearance
  • Minimum level of experience: 5 years
