About the Role
Baron Capital is seeking an Executive Assistant (Research Assistant) to support analysts and/or portfolio managers through a variety of tasks and provide collaborative administrative support for the CEO. This position will handle core executive assistant duties including but not limited to scheduling meetings, researching conferences, booking travel & making itineraries, creating and submitting expense reports, arranging conference calls, editing watchlists for portfolios and companies your PM/analyst covers, ordering catering, keeping contacts up to date, obtaining and filing company information. Confidentiality, sound judgment, effective multitasking, and a strong work ethic are imperative to success. The Research Assistant will report directly to the VP, Director, Workplace Operations, provide direct support to the Executive Assistant of the CEO, and collaborate closely with the team of 12 Research Assistants.
Key Responsibilities
- Handle phone calls with efficiency, including call screening, forwarding, and message-taking.
- Schedule meetings and appointments, collaborating with all relevant parties and ensuring accurate calendar details and requested materials.
- Assist in email management, identifying pertinent events, meetings, or calls.
- Check for relevant conferences and present the information to the analysts/PMs; keep track of deadlines and ensure registration.
- Act as a liaison with brokers, banks, and investor relations representatives.
- Work with brokers and IR representatives to register PM’s/Analysts for Conferences and Investor Days and schedule any meetings that PM’s/Analysts find of interest.
- Make sure PM’s Analysts have the most current agenda for Conference and Investor Day and add any presentations to calendar that they would like to attend.
- Maintain and update contact lists.
- Streamline analyst and portfolio manager workloads with documents and spreadsheets.
- Create and distribute correspondence and reports while maintaining an organized filing system.
- Keep track of the quarterly calendar for earnings calls. Promptly providing press releases, transcripts, estimates and research reports to analysts/PMs by utilizing Factset/Bloomberg.
- Book travel arrangements: including flights, car services, hotels and itineraries.
- Maintain a list of all travel requirements including all hotel and airline points numbers, seat/airline preference, hotel preference
- Submit and reconcile expense reports.
- Provide general support for visitors.
- Take notes on calls as needed.
- Work with other assistants when necessary to schedule meetings and conferences call and always ensure adequate coverage.
Additional Responsibilities
Specifics to Ron Baron’s Backup Assistant:
- Support the CEO’s executive assistant as part of a coordinated team.
- Perform executive and personal tasks for the CEO & his family when needed.
- Gain exact knowledge of the duties that the CEO’s executive assistant performs to seamlessly cover the role in their absence.
- Please note that light travel may be required at times to assist with these responsibilities & work may occasionally be required outside of standard business hours.
Qualifications
Education and Experience:
- At least 1-3 years’ administrative or executive assistant experience in a corporate office setting.
- Preferred experience in the financial services industry.
- Bachelor’s Degree required.

- Experience in preparing expense reports and making travel arrangements.
- Exceptional time management skills, multitasking abilities, and prioritization in a fast-paced environment.
- Self-motivated, results-oriented, with a strong work ethic.
- Attention to detail and outstanding listening and follow up skills.
- Team player who strives to creatively solve problems.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficiency in MS Office.
The base salary range for this position is based on skills, experience, qualifications, and internal equity. It is eligible for an annual discretionary bonus. It also participates in the Firm's 401(k) and Profit-Sharing Plan.
