About the Role

The Legal Assistant plays a critical role in supporting the Legal Department and ensuring the smooth execution of essential legal, regulatory, and administrative functions. This position works closely with Compliance and cross‑functional teams to facilitate regulatory filings, maintain critical records, coordinate board materials, and support company-wide legal operations. The ideal candidate is detail‑oriented, organized, proactive, and comfortable managing multiple responsibilities in a fast‑paced environment.

Key Responsibilities

Include the following (other duties may be assigned):

  • Regulatory Filings: Assisting with preparing and filing various regulatory filings: Form 13F, Form 13H, Schedule 13G, Form 24F-2, Form N-PX, Form 40-17G, CFTC Regulation 4.5, Form N-1A.
  • Company Names: Providing official company names to Compliance for set-up within CRD.
  • Foreign Account Openings: Assist with the process of the opening of sub-custody accounts in various jurisdictions.
  • Board Books: Assist with the preparation of Baron Funds Board Books for delivery to Trustees. Responsibilities also include preparing various Board reports.
  • New Product Launches: Assisting with the launch of new mutual funds, private funds, and other investment products.
  • Administrative Duties: Scanning, saving, printing, copying, FedExing, managing Outlook calendar.
  • Wall Crosses: Assisting with maintenance of restricted trades list and related communications with bankers.
  • Calendars: Manage complex calendars
  • Calls: Answer all incoming calls and take messages for Chief Legal Officer
  • Travel/Expense Reimbursements: Light travel coordination, including ground transportation, hotels, flights, and expense reimbursements
  • Meeting Preparation: Prepare materials for meetings and presentations including agendas, handouts, etc.
  • Board Meeting Preparation: Assist with board meeting set up, calendaring, zoom invitations and lunch coordination.

Qualifications

Education and Experience:

  • Bachelor’s Degree required.
  • 2+ years of paralegal experience within the financial services industry (preferred).

Knowledge:

  • Basic understanding of Investment Company Act of 1940 and Investment Advisers Act of 1940 (preferred).
  • Experience with Diligent BoardBooks (preferred).
  • Experience with EDGAR (preferred).
  • Experience with working with RR Donnelley or similar financial printer (preferred).
  • Experience with contract management platforms.

Skills and Abilities:

  • Ability to handle multiple responsibilities across multiple entities and work independently.
  • Ability to interact and communicate professionally and effectively with employees throughout all levels of the organization.
  • Ability to manage high volumes of work under tight deadlines while maintaining strict attention to detail.
  • Ability to work in team-oriented environment.
  • Experience with Microsoft Office required (i.e., Word and Excel).
  • Experience with Microsoft Outlook required. 
  • Experience with Zoom.

 

The base salary range for this position is based on skills, experience, qualifications, and internal equity. It is eligible for an annual discretionary bonus. It also participates in the Firm's 401(k) and Profit-Sharing Plan.
