Executive Assistant

The mission:

Act as a strategic partner to leadership by ensuring operational efficiency and organizational excellence. This role supports effective decision-making through proactive calendar management, preparation of key materials, accurate follow-up on action items, and seamless coordination of travel, events, and cross-functional projects—contributing to the smooth execution of business priorities and strategic goals.

Key Outcomes:

  • Operational efficiency: Ensure seamless coordination of the CEO’s agenda — scheduling meetings, calls, conferences, and events while keeping him informed and prepared for all commitments.
  • Strategic support: Prepare materials, reports, and key documents for meetings; take notes, and follow up on action items to ensure timely execution.
  • Travel coordination: Plan and manage national and international trips, including logistics, itineraries, and documentation, ensuring every detail runs flawlessly.
  • Expense management: Maintain accurate records of professional and personal expenses, handling reimbursements, reports, and vendor interactions.
  • Project collaboration: Partner on special company projects (e.g., new office scouting, administrative negotiations, coordination with banks or service providers).
  • Event coordination: Support and coordinate internal events, executive offsites, and external engagements.
  • Information management: Organize and maintain easy access to key files, presentations, and confidential documents.

What You Bring to the Team:

  • 7+ years of experience in a similar Executive or Personal Assistant role, ideally in a remote or fast-paced environment.
  • Bilingual proficiency in English and Spanish (verbal and written).
  • Exceptional organization, prioritization, and problem-solving skills.
  • High attention to detail, reliability, and discretion with sensitive information.
  • Strong time management and ability to juggle multiple priorities under pressure.

 

Nice to have:

  • Experience in startups.
  • Experience working directly with C-level executives.
