Job Summary
The Purchasing Data Entry will support the Supply Chain Operations of BDA by facilitating the timely and accurate procurement of goods from our supplier base with great attention to detail. The Purchasing Data Entry will provide exceptional customer service and communication to both internal and external stakeholders. The Purchasing Data Entry will accurately input product and supplier data based on incoming requests from supply chain, sales, and marketing teams while adhering to all compliance regulations. They will also be responsible for routine communication with vendors as well as invoice reconciliation. This role will be supporting our SwagUp brand.
DUTIES AND RESPONSIBILITIES
· Ensure a smooth full-cycle process starting when orders are submitted until items are received in the warehouse
· Review and prioritize incoming purchase orders from supply chain, sales, and marketing teams.
· Accurately input customer details (fi les, locations, dimensions, ink colors, shipping addresses, sizes etc.)
· Maintain accurate records of vendor agreements, compliance documents, and product specifications to ensure consistent record keeping.
· Address product concerns and questions regarding pricing and decoration capabilities.
· Review and reconcile vendor invoices against purchase orders and received goods.
· Investigate and resolve discrepancies in invoicing promptly.
· Monitor the status of open orders and proactively identify any potential delays or issues.
· Ensure all product and supplier information is accurately entered and maintained in the system.
· Proactively outreach to suppliers for compliance data to ensure proper shipment details.
· Work closely with the sales, marketing, and supply chain teams to ensure alignment on order requirements and priorities.
· Participate in cross-functional meetings to discuss procurement strategies and performance.
· Communicate any general supplier announcements or updates

· Can work simultaneously on multiple projects
· Familiarity with Salesforce
· Experience with screen printers and embroiderers would be a plus - but not required
· Enjoys working in a collaborative environment where everyone pitches in
· Ability to work under pressure and tight deadlines
· Thrives in a fast-moving environment where things are always changing
QUALIFICATIONS
· Fundamental computer literacy required
· Experience with Google Suite
· Understanding of procurement processes, vendor management, and compliance regulations.
1-3 years of experience in procurement, supply chain, or operations, preferably in the promotional products industry.
