About BEAM

Bridge to Enter Advanced Mathematics (BEAM) creates pathways for students from low-income, low-access backgrounds to become scientists, mathematicians, engineers, and computer scientists.

We provide BEAM students the same access to high-quality preparation in STEM as their more affluent peers, and we invest deeply in our students' success, with programming from middle school through college graduation focused on joyous, exciting, and rigorous mathematics, building vibrant communities, and supporting students in key life transitions such as college admissions and financial aid.

BEAM has grown from a small summer program serving 17 students in the summer of 2011 to a year-round, national program, serving 450+ students at six summer program sites and 600+ students in year-round programming in New York City and Los Angeles this school year. In addition, our BEAM National pilot program now reaches around 1000 elementary-aged students in seven different states, working to create a new nationwide pathway modeled on our local work. We've seen our students' successes first-hand, and it's backed by data: a quasi-experimental study found that students who attended our 7th grade summer program were 1.3X as likely to declare a STEM major as a matched comparison group.

DESCRIPTION OF THE POSITION 

The Manager, Advancement Data and Operations is a critical member of the Advancement Team, responsible for ensuring that our data and systems infrastructure supports BEAM's fundraising goals. This role is fundamentally strategic and analytical — bringing deep knowledge of the team's fundraising needs and how Salesforce can serve them, translating those needs into clear priorities, and working in close partnership with a technical counterpart who oversees Salesforce implementation across the organization, to bring those priorities to life. Equally important, this person actively queries, analyzes, and interprets fundraising data to surface insights that drive decision-making across the Advancement Team.

This is a role for someone who wants real ownership over meaningful work. You'll shape how we use and develop Salesforce over time, solve genuine data challenges, and directly support the fundraising that powers BEAM's work with students. The right candidate brings strong relational database skills and a sophisticated understanding of how to work with complex data. We're looking for someone with the experience and judgment to navigate those realities with rigor and problem-solving instincts. Salesforce experience and nonprofit fundraising experience are both preferred.

This role also oversees key operational functions for the Advancement team, from building and documenting internal processes to managing vendor relationships and supporting the fulfillment of corporate partner commitments.

DESCRIPTION OF THE TEAM/DEPARTMENT

Our Advancement team is a dynamic group of seven full-time staff members, working together to make sure we have the resources to succeed. Building strong, meaningful relationships with funders and supporters is at the heart of what we do. Our funders consist of individuals (50% of revenue), foundations (30%), and corporations (20%).

As our Manager, Advancement Data and Operations, you will work closely with the team and provide essential support to ensure we are able to meet our goal of raising more than $11 million annually — critical funding that fuels BEAM’s work and impact.

SUPERVISION

The Manager, Advancement Data and Operations reports to the Chief Advancement Officer.

KEY RESPONSIBILITIES:

Salesforce Data Management and Analysis (60%)

Strategize and plan:

  • Guide the Advancement Team in setting the agenda for how Salesforce is developed and improved, prioritizing both strategic initiatives and incremental changes in alignment with Advancement goals and the annual fundraising plan. 
  • Collaborate closely with the Manager, Salesforce & IT Systems — who is responsible for all technical implementation and configuration of Salesforce across the organization — to ensure the system evolves in ways that serve Advancement's strategic needs and reflect relevant best practices.
  • Lead regular meetings with the Advancement team to identify gaps in Salesforce usage, and proactively propose improvements based on team needs and emerging best practices.

Track and analyze key metrics:

  • Create and maintain dashboards and reports in Salesforce to track key Advancement metrics; proactively identify and recommend additional metrics that help the team monitor progress toward goals.
  • Query, clean, and analyze Salesforce data to surface timely insights and recommend strategies that increase team efficiency and effectiveness.
  • Ensure the integrity of the donor database by overseeing gift processing, acknowledgements, reconciliation, and renewal tracking.
  • Execute data integrity audits and cleanups, and lead data imports and exports using native Salesforce tools or external platforms; train team members to execute routine processes independently.
  • Manage quarterly reconciliation of donation records between Salesforce and accounting software, in collaboration with the Advancement Coordinator and the Finance Team.
  • Lead recurring fiscal start-of-year and end-of-year processes including opportunity cloning, donor acknowledgement reconciliation, and data cleanup for public-facing reporting such as our annual supporter list.

Document, train, and support:

  • Serve as the team's primary internal Salesforce resource, proactively building team members' proficiency through training, documentation, and hands-on support.
  • Design and maintain comprehensive Salesforce documentation, including a data dictionary, standardized processes, and a centralized resource hub to drive data consistency and effective team operations.
  • Develop and maintain Salesforce training materials for the Advancement team in collaboration with the IT Team.
  • Field functional questions from Advancement team members about Salesforce capabilities and reports, providing clear and timely guidance to keep work moving.

Operational Oversight (35%) 

Operations and Systems Management:

  • Build, improve, and document Advancement team processes to increase efficiency, sustainability, and institutional knowledge. 
  • Research, evaluate, and implement new tools and platforms to support the long-term effectiveness of the Advancement Team — gathering requirements, assessing fit, managing vendor relationships, and coordinating across teams (e.g., IT, Finance, Advancement) to ensure successful adoption and alignment with organizational priorities.
  • Serve as the team's primary internal resource for Advancement tools and platforms, providing guidance and support to ensure team members can use them effectively.

Manage Corporate Partner Commitments and Related Projects:

  • In close collaboration with the Chief Advancement Officer, coordinate across BEAM teams to ensure timely fulfillment of corporate partner commitments, including building, implementing, and refining the processes that keep this work on track.
  • Manage the administrative side of corporate partner-funded stipends and scholarships, working with the Finance Team to ensure recipients complete grant agreements and receive payments on schedule.
  • Support stipend and scholarship recipients in preparing materials for corporate partners, including short biographies and presentations.

ADDITIONAL RESPONSIBILITIES (5%) 

  • Perform other operations-related duties as requested (e.g., pertaining to our website and email marketing platform), keeping in mind that BEAM is a small and growing organization where team members often wear multiple hats.

QUALIFICATIONS

We understand that there are many paths to acquiring experience and therefore welcome candidates from diverse and nontraditional backgrounds for this role who have demonstrated equivalent transferable skills to carry out the major duties outlined in this job description.  

Knowledge 

  • At least 3 years of experience with relational database management; Salesforce experience strongly preferred (experience with the Nonprofit Success Pack a plus)
  • At least 2 years of experience querying, analyzing, and interpreting data to inform strategy and decision-making
  • At least 2 years of experience working cross-functionally with technical teams to implement data infrastructure improvements
  • At least 2 years of experience designing and improving operational workflows and processes

Preferred Education and Experience

  • Preference for someone with experience in nonprofit fundraising

Significant pluses include:

  • Knowledge of STEM and educational equity issues
  • Experience with descriptive analytics, segmentation, and visualization to support fundraising strategy
  • Experience with revenue operations, fundraising analytics, or data infrastructure in a nonprofit context

SALARY, BENEFITS, AND OTHER DETAILS

Work Schedule: Monday-Friday with occasional evening or weekend hours, as required

The salary range for this position is $71,500 - $88,000. This is a good faith anticipated range of the job, but the actual pay will be based on any applicant’s skill and experience.
