Job Summary:
The Talent and HR Operations Specialist supports the operational and logistical capabilities of the HR organization for the organization including both Talent Acquisition and HR Operations activities, ensuring accurate, compliant, and well-coordinated support across the employee lifecycle. On the talent acquisition side, manages interview day logistics for the Boston office, coordinates offsite hiring events both domestically and internationally, administers candidate reimbursements and background checks, leads new hire onboarding coordination across IT, Accounting, and Paylocity, and maintains the hiring dashboard and TA trackers. On the HR operations side, maintains HRIS/Paylocity data integrity, supports benefits administration and leave of absence tracking, manages offboarding processing, and supports employee file compliance, employment verifications, HR reporting/audits, and policy administration. This role is the connective tissue that keeps both Talent Acquisition and HR Operations running accurately and on schedule.
Work Arrangement & Location:
Hybrid - This position follows a hybrid work schedule, requiring a minimum of two (2) days on-site per week — currently designated as Tuesday and Wednesday. Additional on-site days may be required based on business needs, team priorities, or leadership direction.
Essential Duties and Responsibilities:
- Support onsite interview logistics for in-person interviews in the Boston office, including generating in person interview schedules, reserving conference space, greeting candidates, and managing the day-of experience for both candidates and the interviewing team.
- Manage all staffing agency contracts and Master Service Agreements (MSAs) supporting Talent Acquisition, including tracking terms, renewals, and coordinating with Legal and Procurement as needed.
- Support offsite hiring event logistics for the organization both in the US and ex-US, including identifying and coordinating with event vendors.
- Manage candidate reimbursement requests and background check administration with designated vendors, ensuring timely and accurate processing.
- Manage all onboarding activities for new hires, including sending welcome letters and coordinating IT onboarding, Accounting onboarding, and system setup in Paylocity.
- Manage the hiring dashboard and update all TA trackers to ensure ongoing accuracy and data integrity.
- Maintain HRIS/Paylocity data integrity, including employee record updates, benefits administration support, leave of absence tracking, and offboarding processing.
- Support HR compliance and operations activities, including employee file recordkeeping, employment verifications, HR reporting/audits, and policy administration.
- Manage the HR mailbox, triaging and responding to employee inquiries or routing them to the appropriate HR team member in a timely manner.
- Perform other duties and responsibilities as assigned
Qualifications:
- Education: Bachelor's degree in Human Resources, Business Administration, or a related field required (or equivalent experience).
- 5 years of experience in talent acquisition coordination, HR operations, or a combined HR generalist/administrative role.
- Experience coordinating with external vendors (e.g., event, background check, or reimbursement vendors) and supporting HRIS/benefits administration.
- Working knowledge of Paylocity or a similar HRIS platform for new hire setup, employee data maintenance, and offboarding processing.
- Proficiency in Microsoft Office/Google Workspace, particularly Excel/Sheets and calendar/scheduling tools.
- Familiarity with background check platforms, benefits administration basics, and leave of absence (LOA) processes.
- Understanding of employee file compliance requirements, employment verification processes, and HR reporting/audit practices.
- Ability to manage multiple concurrent interview schedules, events, onboarding/offboarding cases, and HR operations tasks with minimal supervision.
- Sound judgment in resolving day-of logistics issues and HR administrative matters quickly and with discretion.
- Proactive in flagging data discrepancies or process gaps across TA trackers, HRIS records, and compliance documentation.
- Strong interpersonal skills with the ability to create a positive, professional candidate and employee experience.
- Clear written and verbal communication for coordinating with candidates, hiring managers, employees, and external vendors.
- Ability to communicate onboarding and HR operations requirements clearly across IT, Accounting, and other internal stakeholders.
- Position may require ability to travel 20% as needed of time or more including occasional overnight stay driven by business need.
Salary Range:
The expected salary range for this position varies by location and will be communicated based on the country or region in which the selected candidate is hired. Actual pay will be determined based on experience, qualifications, location, and other job-related factors permitted by applicable local law. A discretionary annual bonus and long-term incentive award (e.g., equity) may be available based on individual and Company performance.
Salary Range
$124,000 - $160,000 USD
