Role Overview:
The Marketing and Events Coordinator owns the planning and execution of Bee Window's event program, one of the company's most important lead generation channels, contributing approximately 10% of company revenue. This role oversees 30 to 40 events annually, from securing prime booth placements and managing show logistics and budgets to leading a team of part time Event Representatives in the field. Success in this role means strong appointment setting performance at every show, disciplined budget management, and a growing event program that expands Bee Window's contribution to overall company revenue year over year.
In addition to event ownership, this position supports the Director of Marketing in the coordination and implementation of marketing initiatives across the business. This includes assisting with the organization of campaigns, ensuring timely completion of marketing deliverables, and helping maintain alignment across projects and priorities.
This position reports directly to the Director of Marketing and manages the part-time Event Representative team, with ongoing responsibility for recruiting and scaling the team as the event program expands.
Responsibilities:
- Plan and coordinate 30 to 40 events annually, including show logistics, hotel bookings, and administrative event planning
- Manage the day to day scheduling and performance of the part time event team
- Contact event managers to secure prime booth placements for each show
- Own the events budget, with authority to allocate spending across shows and track costs by show
- Handling recruiting and interviewing for event staff positions
- Conduct training sessions ahead of major shows and provide field coaching and support to team members
- Monitor individual team member performance and provide field support when needed
- Recruit and interview for part time event staff positions alongside the Director of Marketing
- Provide weekly reporting on team performance metrics and event outcomes
- Support the Director of Marketing in coordinating the development and distribution of marketing materials (mailers, email campaigns, and event collateral)
- Assist in the preparation and organization of campaign assets and timelines to ensure marketing initiatives stay on track
- Coordinate with external media vendors to provide monthly marketing materials, ensuring all creative assets are delivered accurately and on schedule
Role Requirements:
- Bachelor's degree in marketing, communications, or a related field is required
- 3+ years of experience in a management or leadership role is required; backgrounds in event coordination, team leadership, or other people-focused roles are a plus
- Strong organizational and administrative skills with the ability to manage multiple shows, timelines, and budgets at once is required
- Excellent verbal and written communication skills, with the ability to build positive relationships with vendors, event partners, team members, and customers
- Event management or event coordination experience is preferred; open to any industry background
- Flexibility, adaptability, and the ability to respond positively to constructive feedback is required
- Budget management experience is preferred
- CRM experience is a plus
- Canva or graphic design software experience is a plus
Logistics:
- Report to the Director of Marketing
- Hybrid: 4 days a week in office in Fishers, Indiana, with Fridays remote; travel to events as needed
- Competitive base and bonus compensation structure: $60,000 to $65,000 base salary plus 10% annual bonus
