Position Summary: The Operations Coordinator supports the Operations Director with front office and school wide operations. This position is the face of the school building and should present a positive and helpful personality. This is a full time 12 month position supervised by the Director of Operations.
Core Responsibilities:
- Reception
- Welcome parents/visitors and assist with their needs and serve as the first line of contact for questions/ concerns from parents and visitors.
- Execute visitor protocols with fidelity
- Act as face of school; diffusing difficult situations
- Answer phones, take/ distribute messages in timely manner, direct phone calls to appropriate staff
- Manage student sales and cash collection processes in alignment with BCN Financial Policies
- Maintain the cleanliness and organization of main office (outside of custodial duties
- Attendance
- Ensure all teachers submit attendance in a accordance with school procedures
- Distribute daily bulletin and make updates to attendance as required
- Receive and code absence documentation and distribute truancy and attendance notifications to families
- Work with ATIP to confirm accuracy of records and truancy status
- Supply Inventory
- Inventory and maintain supply rooms and cabinets
- Support with distribution of supplies
- Restock office supplies
- Receive, sort and distribute incoming mail/packages
- Prepare documents for school mailings
- Prepare outgoing mailings
- Student Record Management
- Create and maintain up-to-date student physical files with all required paperwork.
- Ensure each file is in compliance for yearly audits and conduct outreach to families for missing required documentation.
- Enter and update as needed required student demographic information in Powerschool, the BCN student information system.
- Assist with the coordination and execution of student enrollment processes, including reviewing and processing applications, verifying required documents, and ensuring timely and accurate student registrations.
Additional responsibilities:
- Assist with school events (may extend beyond the normal school day)
- Coordinate early dismissals for sick students when nurse is unavailable
- Maintain maintenance/custodial requests
- Student technology support, as needed
- Support with field trip logistics and other partnerships
- Assist with any regularly scheduled fire drills/bus evacuations
- Other duties as assigned by Supervisor and Network Leadership
Qualifications:
Education and Experience:
- High School Diploma or Equivalent
- At least 3 years of work experience related to school operations
- Experience using School Information Systems, preferable PowerSchool
- Hold all required clearances to work in PA schools (Pennsylvania Child Abuse History Clearance (Act 151), Federal Bureau of Investigation Record Check Clearance (Act 114), Sexual Misconduct/Abuse Disclosure Clearance (Act 168))
Skills and Abilities:
- Proficient in Microsoft (word & excel)
- Proficient in Google Suites
- Ability to be flexible and work in busy environment
- Overall pleasant demeanor
- Must be able to work with children (ages infant - 18)
