What You’ll Be Doing

As a key member of the team, you will:

  • Schedule meetings and coordinate calendars for team members and clients.
  • Manage daily correspondence with clients and external stakeholders in a professional, timely manner.
  • Oversee ATO and ASIC correspondence and submissions, and support with other regulatory applications.
  • Liaise with the Australian Taxation Office regarding client queries, ensuring prompt and accurate follow-up.
  • Raise invoices and draft engagement letters with a focus on quality and compliance.
  • Arrange establishment of client entities and coordinate documentation for client onboarding.
  • Maintain electronic filing systems and ensure all client records are accurate, compliant, and up to date.
  • Collate tax returns and financial statements and assist with document preparation ahead of meetings.
  • Support the team with ad hoc administrative tasks that keep our operations running smoothly.

Is This You?

We’re looking for someone who brings energy, professionalism, and a strong sense of ownership to the role.

  • Prior experience in a Team Assistant, Administration, or Reception role - ideally in a professional services firm.
  • Positive and proactive attitude, with a willingness to learn and contribute beyond the basics.
  • Excellent written and verbal communication skills - you’re confident engaging with both clients and colleagues.
  • High-level organisational and time management skills - you juggle tasks and deadlines with ease.
  • Comfortable working both independently and as part of a team.
  • Confident using Microsoft Office products and quick to pick up internal systems and platforms.
