Position Summary
We are looking for a dependable, organized, and detail-oriented person to support our electrical service department. This position will be responsible for answering phones, communicating with customers and technicians, creating and updating work orders, assisting with scheduling, and providing administrative support to the Service Manager.
The ideal candidate is someone who can multitask, communicate professionally, stay organized, and work in a fast-paced environment where priorities can change throughout the day.
Key Responsibilities
- Answer incoming phone calls and direct calls to the appropriate person.
- Communicate professionally with customers, technicians, vendors, and management.
- Create new work orders and enter accurate job information into the company system.
- Update work orders with technician notes, schedules, materials, labor, and job status.
- Assist with scheduling technicians and coordinating service calls.
- Monitor work orders to make sure information is complete and up to date.
- Assist the Service Manager with daily service department needs.
- Communicate with technicians regarding job assignments, schedules, materials, and customer needs.
- Help maintain accurate records of labor, travel, materials, purchase orders, and job documentation.
- Assist the Service Manager with special projects and administrative tasks as needed.
- Work with other office staff and management to keep the service department running efficiently.
- Maintain confidentiality and professionalism when handling customer and company information.
Required Skills & Qualifications
- Previous office, customer service, dispatching, construction, electrical, or administrative experience preferred.
- Strong computer skills and ability to learn new software.
- Excellent organizational and time-management skills.
- Strong attention to detail.
- Ability to communicate clearly by phone, email, and in person.
- Ability to multitask and prioritize work in a busy environment.
- Must be dependable and able to work independently.
- Ability to work well with technicians, customers, vendors, and management.
- Electrical or construction industry experience is a plus but not required.
