Position Description: Bertram Capital, a Foster City, CA-based private equity investment firm, is seeking a highly organized and detail-oriented Coordinator to provide day-to-day operational and administrative support to its OCM team. The ideal candidate is dependable, proactive, and skilled at managing competing priorities in a fast-paced, collaborative environment. The Coordinator will serve as the operational backbone of the OCM team, maintaining the Salesforce.com database, coordinating scheduling and travel, processing expenses, and producing routine reports. Approximately 75% of the Coordinator’s time will be dedicated to administrative and operational support.

 

Primary Responsibilities:

  • Coordinate all travel arrangements for the OCM team, including flights, hotels, and ground transportation, ensuring smooth and timely logistics
  • Coordinate day-to-day calendars and scheduling for the OCM team, proactively resolving conflicts and prioritizing meetings
  • Collect, process, and submit expense reports on behalf of the OCM team, ensuring accuracy and adherence to company policy
  • Manage the end-to-end non-disclosure agreement (NDA) process on behalf of the OCM team
    • Serve as the primary point of contact for LexCheck, the firm’s AI-powered NDA review solution, coordinating submissions and managing the review workflow
    • Facilitate communication and negotiation of NDA terms between the firm’s OCM and counterparty investment bankers and attorneys
    • Coordinate, track, and ensure that agreed NDA terms are accurately communicated, implemented, and monitored on an ongoing basis
    • Partner with Compliance to coordinate all requests for destruction of confidential materials in accordance with NDA obligations
  • Maintain and update the Salesforce.com database on an ongoing basis, ensuring records are complete, accurate, and current across all OCM activities
    • Support the refinement of Salesforce.com data entry and reporting workflows, and assist in tracking deal pipeline activity as opportunities progress through the OCM process
    • Pull and organize recurring reports and activity summaries within Salesforce.com to help the OCM team track outreach progress and deal pipeline status
    • Ensure that all information entered in Salesforce.com is kept current and accurately reflects the firm’s OCM activities and processes
    • Prepare and distribute a defined set of OCM reports on a weekly, monthly, and quarterly basis to keep the team informed of activity levels, pipeline status, and outreach progress
  • Develop and manage the firm’s internal public relations program
    • Develop goals, strategies, and plans for Bertram Capital’s public relations program, encompassing press outreach, speaking engagements, and thought leadership initiatives for the firm and in support of portfolio companies
    • Coordinate and manage the internal press release review and approval process
  • Oversee and manage external Bertram Capital marketing activities
    • Support all Bertram Capital marketing events in accordance with specifications provided by the OCM team leads
      • Track and manage budget versus actuals, and coordinate all vendor communications and payments
      • Manage all scheduling and communications with investment bankers
      • Travel to support events on an as-needed basis
    • Manage all marketing materials including the firm’s website, one-pagers, and PowerPoint presentations, covering both the creation of new materials and updates to existing ones; coordinates closely with Compliance throughout

Qualifications:

  • Bachelor’s degree required
  • Experience with Salesforce.com or an equivalent CRM platform, considered a plus
  • Genuine interest in and ability to adopt emerging AI tools and technologies to enhance productivity
  • Proficiency in Microsoft Office Suite
  • Exceptional attention to detail with strong organizational and planning capabilities
  • Collaborative mindset with a demonstrated ability to thrive in a team-oriented environment
  • Proven ability to coordinate and manage multiple tasks and deadlines simultaneously in a fast-paced environment; self-directed with a strong sense of ownership and follow-through
  • Demonstrated ability to provide effective support to a geographically distributed team

 

Compensation and Benefits

The expected salary range for this position is: $90,000-$100,000 total annual compensation plus additional annual bonus beginning after 1 year of tenure. Offered salary may be based on a variety of factors including skills, experience, and qualifications for the role.

If hired, employee will be in an “at-will position” and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
