The People Operations Coordinator is vital in supporting and enhancing the employee experience while ensuring the smooth operation of the day-to-day office and People and Culture functions. This position is responsible for a variety of tasks supporting the People and Culture team and Executive leadership related to people operations, facilities management, onboarding, health and safety and workplace culture initiatives. The ideal candidate will be a proactive and empathetic individual who thrives in a dynamic and collaborative environment.
Key Responsibilities
- Employee Onboarding: Coordinate and conduct onboarding activities to ensure an exceptional new hire experience. Cultivate a positive and welcoming office culture.
- Employee Guidance: Act as a point of contact for employees for general inquiries and provide support on People and Culture-related matters regarding attendance, company policies and programs, and workplace culture. Foster a positive work environment by promoting open communication.
- Facilities Management: Serve as the main point of contact for all facilities-related inquiries and issues, providing prompt and effective resolutions. Cascade communications and updates related to facility issues and maintenance. Coordinate routine and emergency maintenance tasks ensuring the facility is in optimal working condition. This includes scheduling and overseeing maintenance work performed by external contractors.
- Office Administration: Ensure common areas and meeting rooms are clean and tidy. Receive and distribute daily mail and packages. Manage office supplies, equipment, and services to ensure that the workplace operates efficiently and effectively. This includes monitoring inventory levels, placing orders, managing catering needs, and running errands. Perform reception duties as needed.
- Safety and Security: Monitor and maintain safety protocols to ensure a secure working environment. This includes facilitating badge distribution, conducting regular safety inspections, coordinating safety training for employees, and ensuring emergency procedures are up to date.
- Culture Initiatives: Support and facilitate initiatives and on-site activities that enhance company culture and employee engagement. Organize and coordinate events and activities that promote a positive and inclusive workplace.
- Employee Offboarding: Coordinating and conducting offboarding activities to ensure a seamless transition for employees leaving the organization.
- General Administration: Prepare reports and presentations for the P&C team. Maintain accurate and up-to-date employee records. Assist in the preparation and distribution of P&C related documents and communications. Assist with travel bookings as needed.
Qualifications and Experience
- Associates Degree or higher in Human Resources, Business Administration, or a related field.
- 1-2 years of experience in a human resources or similar role.
- Strong interpersonal and communication skills.
- Proficiency in HR software and Microsoft Office Suite.
- Ability to handle confidential information with discretion.
- Excellent organizational and time management skills
- Ability to consistently communicate effectively and professionally with internal and external customers
- Ability to work independently as well as part of a team
Additional Information
- This is a full-time non-exempt role that will work primarily in an office environment with occasional opportunities for remote work.
- Ability to lift or carry up to 35 pounds with or without assistance
Compensation Range
- $60,000 to $75,000 USD Yearly
