Summary

Composes correspondence and memos within expected timeframe. Takes notes and/or transcribes from handwritten material.   Types, formats, and proofreads a variety of materials generated for facility including: Emergency Preparedness Manual and credentialing letter to physicians and other professionals. Participates in periodic meetings as required by manager. Edits, types, and prepares all meeting minutes and documentation from the meetings. Maintains attendance records for all meetings. Screens calls and handles if appropriate. Takes and delivers messages in a timely manner. Communicates with visitors, families, and corporate employees in Administrator's absence. Reviews mail on a daily basis for the Administrator. Assists in the establishment and maintenance of an adequate filing system. Maintains general office files and residents' files. Uses appropriate reporting to track resident statistics along with the daily and monthly census. Reviews daily census report from Nursing to ensure accuracy. Creates documents for new admissions and make revisions when applicable.  Prepares birthday cards for current residents and sympathy cards for families of deceased residents. Prepares OSHA Form 1 from Incident Reports. Forwards OSHA Reports to corporate. Completes entries to OSHA master log and forwards to corporate at the end of the calendar year. Calculates, prepares, and distributes budgeted Labor Hours Management Report based on bi-weekly pay periods.  Assures that the office is maintained in an efficient, clean, and safe manner. Inventories supplies, storing only those supplies to be used within an appropriate time period and requisition on an as needed basis. Maintains a log of items stored in the facility safe. Balances petty cash in safe every month and prepares a balance sheet to get cash reimbursement from corporate. Maintains postage equipment and orders adequate postage for the facility. Processes documents from the State of Missouri: surveys, reports, complaint letters, NFAC, MFRA, and Bed Classification by Category. Strictly maintains confidentiality regarding job related activities of administration. May be assigned other duties as appropriate.
 

Qualifications

  • High School graduate or equivalent
  • Additional college training preferred
  • Minimum two years secretarial experience
  • Minimum typing skills of 60wpm
  • Ability to take shorthand and/or use Dictaphone
  • Familiarity with word processing
  • Superior verbal and written communication skills
  • Excellent interpersonal and organizational skills
  • Knowledge of functions and relationships of departments within a nursing home environment preferred
  • Manual dexterity, coordination and skillful use of hands for working with required equipment
  • Ability to receive and express detailed information through oral communication
  • Ability to read and understand written directions
Pay range: $17.52 - $27.69 per hour
