Executive Assistant

Our COO is looking for a high-energy, exceptionally organized, and tech-forward Executive Assistant to run point on daily logistics, communications, and administrative operations. While we are looking for someone with a few years of foundational experience under their belt, we care much more about your drive, intelligence, and technical capability than a decades-long resume. This role is ideal for a sharp, proactive professional who moves fast, anticipates needs before they happen, and naturally leverages technology to get things done efficiently.
Classification: Full-Time, Exempt
Compensation: $85,000 - $100,000 / year
Working Hours: Standard hours are Monday through Friday, structured around a typical 8-hour working day. However, supporting a C-suite executive is rarely a strict punch-in, punch-out job. When high-priority deadlines hit, or unexpected issues arise, you may be requested to work outside the normal standard hours. If you thrive on a dynamic, fast-moving day and don't mind a schedule that adapts to the business's needs, you'll fit right in.

Core Responsibilities

Calendar & Communication: Manage the COO’s complex professional and personal schedule. Filter incoming emails, field calls, and prioritize what needs his immediate attention.

Meeting & Project Support: Attend key meetings to take clear notes, document action items, and follow up with team members to ensure projects stay on track.

Logistics & Travel: Coordinate domestic and international travel, including flights, hotels, ground transportation, and dining arrangements.

Liaison: Act as a clear, professional point of contact between the COO and internal teams, clients, and external partners.

Daily Operations: Handle standard administrative tasks (organizing digital files, prepping spreadsheets, drafting memos) and assist with personal errands as needed to maximize the COO's time.
Requirements

Experience: 2+ years of prior administrative or operational support experience (ideally 4+ years).

Communication: Clear, direct, and professional verbal and written communication.

Tech Skills: Deep comfort learning new software quickly. Explicit experience using AI tools to optimize your workflow is highly valued.

Physical Demands: This is an indoor office role. You should be comfortable sitting for extended periods, using standard office equipment, and occasionally lifting up to 25 pounds.
